Job summary

A leading HR services provider in Penang is seeking a Human Resource Associate to ensure compliance with labor laws and assist in recruitment. This role includes managing the recruitment process, maintaining employee records, and providing support to the HR team. The ideal candidate holds a diploma or degree in HR/Business Administration, has knowledge of Malaysian labor laws, and possesses strong communication and interpersonal skills. This position is based in Batu Kawan, Penang.

Qualifications

  • Minimum 1 year relevant working experience in HR is an advantage.
  • Able to work independently and as a team player.
  • Initiative, resourceful, and self-motivated.

Responsibilities

Human Resource Associate (Compliance & Recruitment)
Responsibilities
  • Assist in ensuring HR practices comply with local labor laws and company policies;
  • Prepare, update and maintain HR policies, procedures, related agreements (Service Level Agreement, Freelance Agreement & Non Disclosure Agreement) and employee handbooks;
  • Support the preparation of reports and documentation for compliance purposes;
  • Assist with research on employment law and related agency updates and provide input for internal reviews.
Recruitment Assistance
  • Manage the recruitment process, including job postings, sourcing candidate, candidate screening, background screening, scheduling interviews, and onboarding activities;
  • Maintain recruitment records and manage candidate databases;
  • Prepare job descriptions and employment contracts;
  • Communicate with candidates and clients throughout the recruitment process.
HR Administration
  • Help maintain accurate and up-to-date employee records, ensuring confidentiality;
  • Assist with handling employee queries related to HR policies and processes;
  • Provide general administrative support to the HR team, including preparing HR documents and reports.
Communication
  • Prepare and distribute HR-related communications in clear and professional English;
  • Assist with the preparation of presentations and materials for HR meetings or training;
  • Communicate effectively with internal teams and external clients on HR matters.
Requirements
  • Minimum Diploma/Degree in Human Resources Management/Business Administration or its equivalent;
  • Minimum 1 year relevant working experience in HR will be an added advantage;
  • Well verse with Malaysian Labour Law, Employment Act & other related legislation;
  • Proficient in Microsoft Word and Excel;
  • Good communication skills (written and oral) in English & Bahasa Malaysia;
  • Good interpersonal skills and able to deal with all levels of employees;
  • Initiative, resourceful and self motivation;
  • Able to work independently and a team player;
  • Applicant must be willing to work at Batu Kawan, Penang.
