Executive Assistant (EA)

We are expanding our operations and seeking a highly organized, proactive, and trustworthy Executive Assistant (EA) to assist CEO with daily administrative & personal tasks. The ideal candidate will be someone with prior experience in secretarial or personal assistant functions, be proficient in handling administrative tasks and documentation, and demonstrate a high level of professionalism, discretion, and attentiveness in supporting executives.

Key Responsibilities
  • Provide day-to-day secretarial and administrative support to CEO.
  • Providing comprehensive administrative support including typing, filing, record-keeping, and preparing documents related to correspondent banking, secretarial matters, and other administration function as required.
  • Manage the CEO's calendar and schedule appointments, meetings, including drafting and proofreading correspondence, coordination tracking, following up on tasks, project tracking, preparing slides presentation, reports and travel arrangements.
  • Accompany or assist during internal meetings or personal errands if needed.
  • Liaise professionally with internal departments, business partners, and external stakeholders.
  • Assist in project coordination, research, and follow-ups on pending matters.
  • Handle phone calls and take messages clearly and accurately.
  • Manage confidential information with integrity and discretion.
  • Offer support in using mid-level technology (email, printer, Microsoft office, ChatGPT, Phone Apps, AI-note, etc.)
  • Support the CEO in day-to-day operational and personal matters when required.
Requirements
  • Diploma or Degree in Business Administration, Management, or related field.
  • Minimum 3–5 years of relevant experience supporting senior executives or C-level management.
  • Strong organizational, communication, and multitasking skills.
  • High level of professionalism, confidentiality, and attention to detail.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
  • Fluent in English and Bahasa Malaysia (both written and spoken).
  • Pleasant personality, positive attitude, and ability to work independently with minimal supervision.
