  • Liaise with vendors to obtain quotes and negotiate contracts.
Job description
I. Administrative Support
  • Prepare and distribute meeting agendas, take minutes, and follow up on action items.
  • Maintain and organize electronic and paper files, ensuring easy access to information.
  • Assist with the preparation of reports, presentations, and other documents as needed.
II. Event Planning Support
  • Assist in the planning and execution of various events, including conferences, seminars, workshops, and promotional events.
  • Coordinate logistics for events, such as venue booking, catering, transportation, and accommodation.
  • Manage event registrations and attendee communication.
  • Prepare event materials, including name tags, handouts, and promotional items.
  • Provide on-site support during events, ensuring smooth operations and attendee satisfaction.
  • Assist in post-event evaluation and reporting.
III. Marketing Support
  • Assist in the implementation of marketing campaigns and initiatives.
  • Manage and update marketing databases and mailing lists.
  • Conduct market research and gather data to support marketing strategies.
  • Monitor and report on the effectiveness of marketing campaigns.
  • Assist in the creation of marketing materials, such as brochures, flyers, and social media content.
  • Manage social media accounts, including scheduling posts and engaging with followers.
IV. Financial Administration
  • Process invoices and payments related to event and marketing activities.
  • Track expenses and maintain budget records.
  • Prepare expenses reports.
  • Assist in the preparation of event budgets and financial forecasts.
V. Vendor and Supplier Management
  • Liaise with vendors and suppliers to obtain quotes and negotiate contracts.
  • Manage vendor relationships and ensure timely delivery of services and products.
  • Maintain a database of approved vendors and suppliers.
VI. Other Duties
  • Perform other duties as assigned by the Managing Director.
