Our client is seeking an Event Operations Manager to oversee the planning and execution of public programs and events, ensuring seamless operations, logistics, safety compliance, and vendor management. This role will collaborate with internal partners and external vendors to deliver safe, efficient, and impactful experiences. The ideal candidate will manage high-profile, multi-stakeholder events with a focus on operational excellence that supports our client’s team and engagement goals. Our client pursues its mission through a consultative, founder-partnered approach, shaping programs that align with the founder’s vision while achieving strategic and meaningful outcomes.

• Oversee all logistics for public events, including venue setup, AV systems, staging, security, permitting, and cross-team staff coordination, with an emphasis on technical execution and operational efficiency.


• Serve as the technical lead for event infrastructure, including configuration and operation of audiovisual systems, live-streaming platforms, simultaneous translation tools, and digital engagement software.


• Manage vendor relationships, RFPs, contract negotiations, and SLAs; ensure vendor performance through KPIs and post-event evaluations.


• Maintain and track event budgets using financial management tools; generate detailed cost reports and apply data-driven analysis for cost optimisation.


• Implement robust safety protocols, risk assessments, and contingency planning, including incident response procedures, redundancy of critical systems, and compliance with international accessibility standards.


• Coordinate closely with programming and audience engagement teams to ensure logistics, technical systems, and operational workflows align with content and community needs.


• Build and maintain detailed run-of-show documents, production schedules, and digital project trackers, including contingency pathways for mission-critical event elements.


• Ensure compliance with local regulations, labour requirements, health and safety standards, and insurance coverage requirements across multiple jurisdictions.


• Manage onsite operations with a focus on troubleshooting technical issues, real-time staff coordination via comms systems, and live performance monitoring of AV/IT systems.


• Develop and maintain a post-event reporting framework, analysing operational and technical metrics (e.g., uptime, response times, AV performance, attendee flow) to drive continuous improvement.


• Willingness to travel regionally and manage onsite execution across multiple venues.


• Willingness to work flexible hours, including early mornings or late evenings, to support cross-time zone collaboration.


• Adaptable to varying workloads, balancing periods of focused execution with lighter operational phases.


• Additional duties as assigned.

• A Bachelor’s degree in Event Management, Communications, Marketing, Business Administration, or a related field.


• 7+ years of experience in event operations, production management, or technical event delivery.


• Proficiency in event management software (e.g., Cvent) and project management platforms (e.g., Smartsheet, Monday.com, Notion).


• Strong expertise in AV technologies (projection systems, audio mixing, lighting design, digital signage) and IT/streaming platforms (Zoom, Teams Live, Vimeo, or equivalent).


• Familiarity with CAD software or digital floor planning tools for venue layouts and staging design.


• Experience building and managing detailed production schedules, run-of-show documents, and technical schematics.


• Solid understanding of safety protocols, risk management frameworks, and accessibility standards.


• Strong vendor management skills, including RFP development, contract negotiation, and SLA monitoring.


• Experience leveraging AI tools and using presentation and analytical tools (i.e., PowerPoint, Excel).


• Familiarity with emerging AI technologies and a willingness to experiment with new tools to solve problems or optimise systems is preferred.
