We’re Hiring: Event Assistant, Customer Experience
You play a key role in crafting and delivering a premium event experience for thousands of participants. From the moment they register to the days following the event, you’ll oversee every touchpoint of the participant journey. This includes working with vendors to ensure a smooth registration process, handling enquiries across all channels, managing timely communications, and coordinating entitlements like bibs and race packs. On event day, you’ll be on the ground ensuring entitlements are distributed accurately and resolving any participant issues. Through it all, you’ll work closely with other teams to keep the entire operation running seamlessly.
What You’ll Be Doing:
• Manage Registration System: Work with vendors to ensure the registration platform runs smoothly, with accurate and up-to-date content.
• Handle Participant Enquiries: Respond promptly to participant enquiries across emails, calls, and social media, while accurately tracking special requests.
• Resolve Participant Issues: Proactively investigate and resolve participant problems both before and during the event.
• Plan and Execute Communications: Manage the communication schedule, including eDMs and SMS blasts, to keep participants informed at key stages.
• Track and Report Registration Data: Generate timely and accurate reports on registration progress, revenue, and participant data for internal and client use.
• Coordinate Participant Entitlements: Liaise with sponsors and suppliers to source, prepare, and track entitlements such as bibs, apparel, and event packs.
• Prepare Event Documentation: Develop accurate event day runsheets, purchase requisitions, and ensure proper invoicing with vendors.
• Oversee Event Day Operations: Ensure smooth distribution of entitlements and manage on-site participant issues efficiently.
• Deliver Post-Event Insights: Prepare reports with statistics, learnings, and feedback analysis to evaluate customer service levels and improve future events.
• Perform ad hoc duties as needed.
What We’re Looking For:
• Minimum 1 year of relevant experience in event.
• Strong organizational skills and ability to solve problems under pressure.
• A confident communicator who can manage multiple stakeholders.
• Ability to correlate and link information from various sources to formulate a sound strategy and plan.
• Ability to stay adaptable in fast-paced environments.
• Comfortable working outdoors, early mornings, weekends, and public holidays (Off-inlieu will be given accordingly).
• Passionate about events and excited to grow in the industry.
• An individual who takes pride in their work (as the rest of us strongly do), cares to think beyond and is very objective driven will be a strong plus.
