Reporting To: Tender Manager / Finance Manager

1. Job Overview

The Tender & Account Assistant is responsible for supporting the company’s tender submission activities and assisting the finance department with basic accounting tasks. This role requires strong attention to detail, good organisational skills, and the ability to work under tight deadlines.

2. Key Responsibilities

Review tender advertisements, notices, and customer portals daily for new opportunities.

Assist in preparing tender documents, proposals, quotations, and supporting materials.

Coordinate with relevant departments to gather required information for tender submissions.

Ensure all tender documents meet the required format, accuracy, and deadlines.

Prepare and update company profiles, project references, certificates, and compliance documents.

Assist in registration and renewal of company licences and vendor registrations (MOF, CIDB, PBT, KDN license, insurance etc.).

Monitor tender submission schedules and follow up on closing dates, amendments, or clarifications.

Liaise with clients or government portals regarding tender requirements and updates.

Maintaining the ePerolehan system.

Prepare tender summary reports for management.

B. Accounting Responsibilities (Approx. 30–40%)

Assist in preparing invoices, receipts, payment vouchers, and supporting financial documents.

Maintain proper record-keeping for accounts payable and accounts receivable.

Assist in preparing monthly financial reports and reconciliation.

Verify staff claims, allowances, and supporting documents.

Monitor supplier payments, client billing, and outstanding balances.

Maintaining the SQL Account Software.

Assist in preparation of payroll documents if required.

Coordinate with auditors, tax agents, or finance personnel.

Ensure all accounting documents are properly filed and archived.

3. General Responsibilities

Maintain confidentiality of company data and tender information.

Maintain organised and up-to-date filing systems.

Support administrative tasks including letters, scanning documents, and correspondence.

Perform other tasks assigned by the superiors and management.

4. Job Requirements
