Job summary

A logistics service provider in Klang City is seeking a Supply Chain Coordinator to oversee the supply chain department and ensure smooth project execution. The ideal candidate will have 3-4 years of experience in procurement, inventory control, and logistics management, preferably in onshore/offshore projects. Responsibilities include liaising with team members, implementing material usage controlling systems, and maintaining stock levels. This role offers potential learning opportunities, such as driving a forklift.

Qualifications

  • A minimum of 3 or 4 years' experience in procurement and inventory control for onshore/offshore projects.
  • Prior experience in setting up onshore/offshore stores and logistic operations is highly regarded.
  • Willing to learn to drive forklift / certified forklift driver.

Overview

Coordinate and oversee overall supply chain department to ensure smooth project execution.

Responsibilities and accountabilities
  • 1. Routine work
    • Liaise and instruct team members and delegate the work accordingly
    • Plan work accordingly based on routine and project basis
    • Ensure tasks given to team members have been executed
    • Communicate effectively between team members (each branch)
    • Attend or participate in meetings related to supply chain
    • Monitor the supply chain department overall
    • Propose solutions to superiors to resolve problems
    • Maintain a comprehensive internal audit system in relation to ISO: Quality Management
  • b. Purchaser
    • Sourcing for suppliers to obtain at least 3 quotations
    • Negotiate with suppliers for best price and financial terms
    • Issuance of Purchase Orders
    • Follow up with suppliers after issuance of Purchase Orders to meet the time frame
  • c. Material Receiver
    • Implement proper material receiving system
    • Receive or monitor goods/services sent by the supplier at the designated delivery point and ensure materials/services meet specifications per order
    • Check and reject any materials, machines, equipments, tools, etc. that are defective or not up to standard
    • Sign the Delivery Order and keep records
  • d. Material Usage Controller
    • Implement a proper material usage controlling system based on project loading
    • Issue/distribute materials, machines, equipments, tools, etc. as ordered by the Project Team
    • Carry out stock takes on all materials used
    • Ensure materials, machines, equipments, tools, etc. are calibrated as per project usage
    • Plan for next orders promptly
    • Monitor and ensure stock levels are adequate at all times
    • Ensure materials, machines, equipments, tools, etc. are not misused or missing
    • Ensure materials and equipment used are in accordance with client claims
  • e. Store Keeper
    • Implement a proper warehousing/storage system
    • Keep and update stock records for all materials, machines, equipments, tools, etc., including quantities delivered, used, and remaining
    • Produce the Monthly Stock Report
    • Arrange maintenance for all equipment/machines and maintain proper documentation/records
    • Work with Warehouse & Logistics Supervisor and Project Team to provide logistics services
    • Arrange transport for mobilization and demobilization of materials, machines, equipments, tools, etc. from warehouse to project sites and back
    • Supervise direct hires/subordinates during mobilization and demobilization
    • Monitor schedules and execute maintenance (including road tax and insurance) for company vehicles at HQ and other branches
  • 2. Project related
    • Work with project teams to set up stores systems on onshore/offshore facilities
    • Comply with Petronas Checklist and inspection (vehicle, lorry)
    • Develop internal relationships
    • Develop processes for manifesting, receiving and back loading activities
    • Implement systems for control of stock and spares
    • Assist with management of project-procured capital spares/equipment/machine/etc.
    • Project Execution Phase
      • Provide assistance with inter-facility transfers
      • Provide Letter (Pengambilan barang) to direct hire to be signed
      • Delivery Order (DO) to be filled in and signed by client
      • Perform cyclic stock takes on spares inventory and consumables, reviewing condition, categorization, levels and order points, and prepare reports
      • Assist with the safe operation of helicopter operations, supply vessels and freight
      • Control and monitor dangerous goods, waste management and recycling activities
      • Handle logistic requirements for mobilization of materials, equipment, machines, tools etc. to onshore/offshore project site
      • Ensure rental equipment, machines, etc. (particularly high-cost rental) is returned to owner in a timely manner to minimize rental costs
      • Physically check third-party rental equipment to ensure correct equipment has been received
    • c. Post Project Phase
      • Check for any broken equipment and report to management immediately
      • Demobilization of materials, equipments, machines, tools etc back to warehouse/store
      • Perform warehouse/store keeper duties
      • Other assignments as directed by immediate superior or Management
    Qualifications and experience
    • A minimum of 3 or 4 years' experience in procurement and inventory control for onshore/offshore projects
    • Prior experience in setting up onshore/offshore stores and logistic operations is highly regarded
