Job summary

A leading metals company in Malaysia seeks an export shipment coordinator responsible for managing logistics, communicating with account holders, and preparing documentation for customs. The ideal candidate will have excellent communication, negotiation, and organizational skills, ensuring smooth operations in shipping and customs processes. This role involves liaising with various stakeholders, from forwarders to internal teams, to meet shipment schedules and compliance requirements.

Job description
Responsibilities
  • Provide the summary comparison quotation and proceeds booking once confirmed by account holder with agent.
  • Upon sales confirmation received, arrange booking with carrier for export shipment.
  • Arrange air freight, sea freight and inland export shipment, export shipment through Penang and Port Klang ports.
  • Update account holder on the ETD and ETA and upon confirm proceed vessel booking.
  • Communicate on the continuous movement, pull in and laden pull out with external and internal.
  • Provide INV, PL and SI to our appointed agent for custom clearance purpose.
  • Communicate with account holder on the confirmation and packing list and invoice and draft BL.
  • Proceed payment for custom duty (if applicable).
  • Issue marine insurance and provide to account holder / consignee.
  • Once all shipment done, record, file and proceed for billing process by raising PR and submitting to purchasing for payment.
  • Prepare packing list for custom declaration (K2).
  • Follow up with finance on the forwarder payment.
  • Apply COO (AIFTA, ACFTA etc.) for consignee.
  • Receive shipping advice from account holder (SPG, SPM, and SPGT) and coordinate shipment.
  • Check the shipping documents and confirm with marketing team and advise on HS code, items photo, items description and items content.
  • If required penjeniasan and penambahan, inform LMW team to proceed for the application.
  • If required permit (ex CIDB, SIRIM & etc), check with OGA for guideline and proceed for application.
  • If there’s any error request account holder to liaise with shipper and do the amendment.
  • Receive Notice of Arrival from carrier and shipping charges invoice & deposit.
  • Send shipping charges and deposit invoice to Finance to prepare payment.
  • Upon payment advise done to carrier, send LOI letter to releasing cargo.
  • Confirm draft K1 for custom clearance.
  • Proceed payment for custom duty (if applicable).
  • Submit application for import shipment eligible to exempted SST in MYSST portal (Schedule A and C) if applicable.
  • Emailed shipping documents with loading picture (upon availability) to receiving party or account holder.
  • Communicate with forwarder and warehouse on the continuous movement, pull in and pull out with external and internal.
  • Receive shipment advice from Selangor, Sabah and Sarawak Branch, check draft K3 form, any error, request branches and forwarding agents to do the amendment.
  • Receive Notice of Arrival from carrier and shipping charges invoice & deposit.
  • Notice of arrival and shipping documents sent to Forwarding agent.
  • Emailed shipping documents with loading picture (upon availability) to receiving party and account holder.
  • Communicate with forwarder and warehouse on the continuous movement, pull in and laden pull out with external and internal.
Monthly Responsibilities
  • Prepare KPI reports.
  • Prepare documentation for M1 and M2 submission.
  • Filing for Import and Export shipments.
  • Raised PR and submitted to Purchasing.
