Job description

Involves clerical duties. These skills include the ability to organize files, prepare forms or templates, record information and verify the accuracy of reports.

Job Responsibilities:
  • Updated attendant and email to HR.
  • Monitor Leave employee at TMS System
  • Monitor usage of A4 paper and ensure A4 are used as per each section order.
  • Update OT Form and take sign Hod and AGM before submit HR
  • Update Summary Weekend transportation and canteen for OT at folder HR
  • Prepare millage claim (take sign employee, HOD and AGM) before submit to Finance Department
  • Keep all updated ISO forms used for inspection.
  • Performs job assigned by immediate superior.
  • Updated training record and training attendance.
  • Issue purchase requisition form & purchase order and Remittance request if applicable.
  • Maintain stationary and Asset record, update and order stationary to Purchasing Department.
  • Uniform tracking size and update.
  • Request and Monitor usage of First Aid.
  • Request and Monitor usage of PPE.
  • Receive documents for registration.
  • Review the documents and identify the document status before register into master list.
  • Prepare copies for document master list and distribution.
  • Filling master list document and stamp accordingly (master document, controlled document, uncontrolled document, external document, obsolete).
  • Issue Document Distribution Note (DDN) for internal distribution and Document Distribution Form (DDF) for external documents.
  • Prepared and distribute Document Request from production upon request.
  • Provide document requested inter-dept once received from internal or external parties upon request.
  • Acknowledge to receive document on behalf of superior from external parties (e.g ATA, MEIBAN, FLEX).
  • Perform distribution for controlled documents internally and externally.
  • Request related department to return obsolete copies.
  • Update master list of ISO documents and other related document master list.
  • Prepared and conduct document audit at production line at least 2 products.
  • Request training from superior.
  • Issue DCN for updated ISO documents .
  • Request to return obsoleted copies (old revision) from PIC.
  • Perform document internal audit to ensure documents is updated at workplace.
  • Issue purchase requisition for DIC.
  • Follow up within inter dept on KPI submission.
  • Update Bulletin board on KPI and Quality Objective changes.
Job Qualification:
  • SPM/Certificate in a relevant field.
  • Basic Knowledge of ISO 9001 and 14001
  • Familiar with Microsoft Words, Excel, Power Point
  • Knowledge in QC data collection and QC chart making
  • Knowledge of ERP & EPDM System
