Job description

Responsibilities

• Source, evaluate, and negotiate with local and international suppliers to obtain the best pricing, terms, and quality.
• Prepare and process purchase orders based on material requirements and stock levels.
• Maintain accurate purchasing records and supplier databases.
• Coordinate closely with Production, R&D, QA/QC, and Warehouse teams to ensure timely availability of materials and that all materials meet required specifications.
• Monitor supplier performance and resolve issues related to delivery, quality, or non-compliance.
• Assist in the development and review of procurement strategies to optimize cost and efficiency.
• Ensure proper documentation and compliance with company policies, GMP standards, and audit requirements.
• Identify and recommend potential new suppliers to support new product development and business growth.
• Participate in regulatory and internal audits (e.g., GMP, ISO, HALAL) and ensure procurement-related records and processes are audit-ready.

Qualifications

• Bachelor’s Degree or Diploma in Business Administration, Supply Chain Management, Science, or a related field.
• 1–3 years of experience in purchasing or procurement; preferably in the food, pharmaceutical, or manufacturing industries.
• Familiarity with scientific terms is an added advantage, as the role involves working with a wide variety of raw materials.
• Experience with importation processes, sales tax exemption documentation, and liaising with shipping agents and customs departments is a strong advantage.
• Familiarity with raw materials, packaging, and consumables used in capsule, tablet, powder, or liquid formulations is a plus.
• Experience in preparing for and participating in audits is preferred.
• Strong negotiation, communication, and analytical skills.
• Good command of written and spoken English and Bahasa Malaysia. Mandarin is a plus (for liaising with suppliers).
• Proficient in Microsoft Office and purchasing/ERP systems.
• Able to work independently, manage multiple priorities, and meet deadlines under pressure.
