Job description

To support our strategic goal of maximizing market coverage, we are expanding our Quote Data Team (QDT) to become a centralized Proposal Hub. We are seeking a detail-oriented Proposal Specialist to join this global team. This role is critical to our plan to formally engage with every sales opportunity, ensuring a consistent and professional brand experience. You will leverage a new, internal AI-powered engine to create a high volume of proposals, allowing you to focus on quality control, while also managing core data coordination tasks for the team.

Responsibilities

AI Proposal Generation

Manage the intake of proposal requests from the sales team via a standard form.

Utilize our internal AI tool (GEMs) to generate a full initial draft of each proposal.

Coordinate with the salesperson to review the draft and gather feedback for revisions.

Incorporate all feedback and redlines to deliver a final, polished, and brand-compliant proposal to the sales team.

Ensure all proposals include minimum required information, such as a Sanmina terms sheet.

Maintain a high-efficiency workflow to meet key performance metrics, with a target of approximately two hours of active time per proposal.

Data Team Coordination

As part of a global team, coordinate PAW creation process actions.

Manage file uploads from input folders and conduct file reviews for basic content and format prior to PAW creation.

Identify, address, and resolve issues found in input files.

Log and manage all steps of the PAW creation process.

Manage basic data formatting updates and corrections.

Manage the storage, revision control, and delivery notifications of PAW data files.

Collaborate with QDT peers, Operations, Sales, and GQT colleagues to ensure the successful creation of a comprehensive PAW package.

Contribute to process, tool, and team improvement processes.

Requirements

Proven experience in a sales support, proposal coordination, data management, or administrative role requiring a high level of attention to detail.

Exceptional writing, editing, and proofreading skills with a strong command of professional business communication.

Meticulous data management skills, including file review, formatting, and revision control.

Ability to learn and effectively operate new software and tools; comfortable working with AI-driven technology.

Excellent organizational and time-management skills, with the ability to manage a high volume of concurrent projects and meet tight deadlines.

Strong communication and interpersonal skills, with the ability to collaborate effectively with global, cross-functional teams (Sales, Operations, etc.).
