Job description
RESPONSIBILITIES
  • Provide comprehensive administrative, secretarial, and PA support to Project and Site Management teams, including correspondence, reporting, and priority tracking.
  • Coordinate meetings, travel arrangements, logistics, visas, and visitor management for project and site offices.
  • Act as the administrator of the Project’s Electronic Document Management System (EDMS), ensuring proper access, governance, and compliance.
  • Control, track, distribute, and archive all project documentation (engineering drawings, technical documents, RFIs, submittals, inspection reports, site records, and contracts) in line with approved procedures.
  • Maintain accurate document registers, logs, and audit trails to ensure version control, traceability, and timely document retrieval.
  • Proactively support project operations and contribute to the effectiveness of a fast‑paced, international project environment.
QUALIFICATIONS
  • Associate’s or Bachelor’s degree in Business Administration, Engineering, or a related field.
  • 3–5 years’ experience in project administration and/or document control within engineering, construction, or industrial projects.
  • Proficient in Microsoft Office and experienced with EDMS (e.g., SharePoint, Aconex, Procore).
  • Strong organizational, communication, and attention‑to‑detail skills, with the ability to work independently and manage multiple priorities.
