Qualifications

About the Role

Working Schedule: Monday – Friday, 8.30am to 5.30pm

What You’ll Do
  • Manage and coordinate the Executive’s daily calendar, meetings, travel arrangements, and itineraries.
  • Prepare confidential reports, correspondence, presentations, and minutes of meetings.
  • Screen and prioritize emails, calls, and documents requiring executive attention.
  • Support follow-ups and execution of executive-led initiatives, project timelines, and departmental KPIs.
  • Act as liaison between the Executive and internal/external stakeholders, ensuring smooth communication flow.
  • Handle sensitive documents with strict confidentiality.
  • Maintain filing systems and records (both physical and digital) for easy retrieval and traceability.
  • Organize internal and external meetings, including board meetings, kick-off events, and training sessions.
  • Prepare decks, reports, and materials in coordination with other departments.
  • Manage special assignments, ad-hoc functions, and related duties as required.
  • Oversee company and director’s social media accounts/website when needed.
  • Undertake other duties as assigned by the Executive with prior notice.
Requirements
Must Have
  • Minimum 2 years of experience as an Executive Assistant, Personal Assistant, or similar role.
  • Diploma/Degree or equivalent qualification.
  • Excellent command of Mandarin and English (Mandarin-speaking candidates preferred to liaise with Mandarin-speaking clients).
  • High discretion and ability to handle confidential information.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency in Microsoft Office, Google Workspace, and AI-based tools.
  • Detail-oriented and capable of working independently under pressure.
Good to Have
  • Familiarity with office equipment and applications (e.g. e-calendars, meeting tools).
  • Positive attitude, problem-solving mindset, and eagerness to learn.
  • Strong sense of ownership and initiative.
