Working Schedule: Monday – Friday, 8.30am to 5.30pm
What You’ll Do
- Manage and coordinate the Executive’s daily calendar, meetings, travel arrangements, and itineraries.
- Prepare confidential reports, correspondence, presentations, and minutes of meetings.
- Screen and prioritize emails, calls, and documents requiring executive attention.
- Support follow-ups and execution of executive-led initiatives, project timelines, and departmental KPIs.
- Act as liaison between the Executive and internal/external stakeholders, ensuring smooth communication flow.
- Handle sensitive documents with strict confidentiality.
- Maintain filing systems and records (both physical and digital) for easy retrieval and traceability.
- Organize internal and external meetings, including board meetings, kick-off events, and training sessions.
- Prepare decks, reports, and materials in coordination with other departments.
- Manage special assignments, ad-hoc functions, and related duties as required.
- Oversee company and director’s social media accounts/website when needed.
- Undertake other duties as assigned by the Executive with prior notice.
Requirements
Must Have
- Minimum 2 years of experience as an Executive Assistant, Personal Assistant, or similar role.
- Diploma/Degree or equivalent qualification.
- Excellent command of Mandarin and English (Mandarin-speaking candidates preferred to liaise with Mandarin-speaking clients).
- High discretion and ability to handle confidential information.
- Strong organizational, communication, and multitasking skills.
- Proficiency in Microsoft Office, Google Workspace, and AI-based tools.
- Detail-oriented and capable of working independently under pressure.
Good to Have
- Familiarity with office equipment and applications (e.g. e-calendars, meeting tools).
- Positive attitude, problem-solving mindset, and eagerness to learn.
- Strong sense of ownership and initiative.
