A management company in Kuala Lumpur is seeking a Personal Assistant to support the Director in daily operations, including managing schedules, coordinating meetings, and organising travel arrangements. The ideal candidate will possess a Diploma or Bachelor's degree in Business Administration and have at least 2-3 years of experience in a similar role. Strong organisational and communication skills are essential. This office-based position may require occasional travel and the ability to work beyond normal hours.
Manage daily schedules, appointments, and calendar updates.
Coordinate meetings, prepare agendas, and take minutes.
Organise travel arrangements, including flight bookings, accommodation, transportation, and itineraries.
Draft, review, and manage emails, letters, memos, and official documents.
Handle confidential information with strict professionalism.
Assist with the preparation of presentations, reports, and briefing materials.
Coordinate with internal staff and external stakeholders on behalf of the Director.
Support company projects, follow up on deadlines, and ensure timely completion of tasks.
Conduct research and prepare summaries as requested.
Assist with basic accounting tasks such as invoice tracking, payment processing, and expense claims.
Maintain proper documentation and filing systems (digital & physical).
Support procurement activities, quotations, and vendor coordination.
Handle personal errands for the Director when required.
Manage household or personal appointments (if applicable).
Minimum Diploma/Bachelor’s Degree in Business Administration, Management, Communications or equivalent.
Professional certifications in administration or secretarial work are an advantage.
Excellent verbal and written communication skills in English (additional languages are an advantage).
Strong organisational and time‑management abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and digital productivity tools.
Ability to multitask, prioritise, and work under pressure.
High level of integrity, discretion, and professionalism.
Basic understanding of accounting processes (preferred).
At least 2–3 years of working experience in a similar role.
Experience working closely with senior executives is preferred.
Office-based with occasional travel or off-site support.
Working beyond normal hours may be required depending on schedule demands.
Must be able to respond promptly to urgent matters.
