The Logistics & Operations Admin is pivotal in ensuring the seamless and efficient operation of NOR Offshore Rental’s Malaysia base. This role encompasses managing logistics, coordinating offshore equipment rentals, overseeing inventory, and liaising with internal teams and external stakeholders to uphold operational excellence and safety standards.
Key responsibilities
- Logistics Coordination
- Manage the end-to-end logistics for offshore equipment rentals, including transportation, delivery, and return processes.
- Coordinate with suppliers, shipping agents, and transport companies to ensure timely and cost-effective delivery of equipment.
- Oversee the preparation of shipping documents such as Delivery Orders (DO), Bills of Lading (B/L), and Air Waybills (AWB).
Inventory Management
- Maintain accurate records of equipment inventory, ensuring proper tracking of in/out movements.
- Conduct regular stock checks and coordinate with internal teams to replenish inventory as needed.
- Ensure all equipment is properly maintained, inspected, and certified in compliance with safety standards.
Operational Support
- Assist in the planning and execution of offshore operations, ensuring all logistical aspects are addressed.
- Liaise with offshore teams to understand equipment requirements and ensure timely mobilization.
- Monitor and report on the status of ongoing operations, addressing any issues promptly.
Documentation & Compliance
- Ensure all operations adhere to company policies, industry standards, and regulatory requirements.
- Prepare and maintain accurate records of all logistics and operational activities.
- Assist in audits and inspections as required, ensuring compliance with Health, Safety, Security, Environment, and Quality (HSSEQ) standards.
Stakeholder Communication
- Serve as the primary point of contact for logistics-related inquiries from internal teams, clients, and vendors.
- Provide regular updates to management on operational performance and potential areas for improvement.
- Foster strong relationships with external partners to enhance service delivery and operational efficiency.
Qualifications Requirements
- A Diploma or Degree in Logistics, Supply Chain Management, Maritime Studies, or a related field is preferred.
- Minimum of 2 years in logistics or operations roles within the offshore, subsea, or maritime industry is preferred.
- Proficiency in logistics software and Microsoft Office Suite.
- Knowledge of HSSEQ regulations will be useful.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
