Key Responsibilities
1. Administrative Support
- Manage day-to-day office operations, including filing (physical & electronic), correspondence, and documentation.
- Coordinate internal and external meetings, appointments, and travel arrangements for management.
- Assist in organizing company events and meetings.
- Handle incoming calls, emails, and inquiries professionally.
- Assist in preparing and updating administrative documents such as Admin Policy & SOP, Purchasing Policy & SOP, and etc.
- Liaise with vendors, service providers, and external partners.
- Perform any other administrative tasks & Ad hoc project task assigned by management.
2. Human Resources Support
- Handling Recruitment & Onboarding & Leaving Process
- HR Operations & Administration
- Support Performance Management Process
- Support HR Compliance & Policy
- Expatriate Support
3. Finance Support
- Prepare invoice/ e-invoice, Credit Note, Debit Note and Purchase order.
- Tracking on customer payment & payment to supplier.
- Tracking on company monthly cash flow.
- Review & Checking on company management Account.
- Assist on yearly company audit and tax report.
Qualifications
- Diploma/Degree in Human Resource Management, Business Administration, or related field.
- 3–4 years of experience in HR and/or Administrative roles.
- Knowledge of Malaysia Labour Law and statutory contributions (EPF, SOCSO, EIS, PCB).
- Strong communication and interpersonal skills.
- Good command of English and Bahasa Malaysia; ability to communicate in Mandarin / Cantonese is an advantage.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Experience or knowledge in Infotech systems and MDEC processes (e.g., foreign worker/expatriate work pass applications) is an added advantage.
- Able to work independently with minimal supervision and multitask effectively.
- High attention to detail, strong follow-up skills, and sense of responsibility.
- Professional, discreet, and able to maintain confidentiality.
