Facility Maintenance
  • Oversee and coordinate maintenance efforts and repairs, including managing service requests, scheduling preventative maintenance, and coordinating with external vendors and contractors.
  • Soft services – monitoring and supervision of service providers to ensure excellent service delivery of janitorial services, pest control, and building landscaping.
  • Buildings maintenance – day‑to‑day building operations, civil work, repair & painting of external & internal building/structure.
  • Oversee PM works and repairs of kitchen/cafeteria equipment.
Procurement & Vendor Management
  • Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works).
  • Assist in the procurement of vendors and services as required.
  • Obtain quotation from supplier and approval before proceeding for repair.
Health and Safety Compliance
  • Ensure compliance with health and safety regulations by conducting regular inspections, identifying potential hazards, and coordinating corrective actions.
Vendor Management
  • Collaborate with vendors and contractors to ensure timely and quality services are delivered, monitoring service level agreements, and resolving any issues that arise.
OPEX/CAPEX Budget Management
  • Assist with monitoring the facilities budget, tracking expenses, and identifying cost‑saving opportunities.
Administrative Support
  • Provide administrative support, including managing facilities‑related documentation, scheduling meetings, and maintaining accurate records.
Communication and Customer Service
  • Serve as a primary point of contact for facilities‑related inquiries from employees, resolving issues promptly, and maintaining a high level of customer service.
Sustainability Initiatives
  • Support sustainability initiatives by promoting energy conservation, waste reduction, and other environmentally friendly practices within the facilities.
  • Manage a team of technicians and provide day‑to‑day operation planning.
Project Coordination
  • Assist with coordinating and implementing facilities‑related projects, such as minor renovations, upgrades, and equipment installation within the approved budget and time frame.
  • Respond to urgent maintenance calls and participate in the creation of emergency preparedness plans.
  • Ensure completion of corrective and preventive work orders within allotted time frames as agreed upon with the Client.
  • Develop proactive behaviour to identify and address issues/gaps/findings without waiting for direction.
Reporting and Licensing
  • License renewal.
  • Liaison with Authorities eg. DOSH, DOE, BOMBA as needed.
  • Maintain inventory of facility supplies and equipment, and initiate procurement processes as needed.
  • Update the asset register / asset list accordingly.
Requirements
  • 1–3 years direct Facilities Management experience delivering soft services in a factory and office environment.
  • Interpersonal skills with a strong client focus.
  • You can meet tight deadlines and work efficiently and collaboratively as part of a team to solve problems with professionalism and service‑focused approach.
  • You are proficient with Word, Excel & Power Point and have a keen interest in technology.
  • You are adaptable to work to requests that may vary from day to day.
  • You keep up to date with industry trends and have direct experience or an interest in customer service.
