About the role

Signature Manufacturing Sdn Bhd (SMSB) is seeking a Executive - Purchasing to manage purchase orders efficiently, coordinate with suppliers to ensure timely and quality deliveries, negotiate cost-effective prices, and handle supplier documentation accurately and promptly in line with company policies.

What you'll be doing

As a Executive - Purchasing, your main responsibilities will include but not limited to:

  • Issuing Purchase Orders (POs): Ensure accurate quantities and prices within the lead time for various order and purchase requisitions.
  • Cost Optimum: Negotiate optimal cost, lead time, minimum order quantity, and payment terms with suppliers, including price negotiations for project purchases.
  • Supplier Management: Monitor supplier product quality and delivery performance. Maintain multiple sources of suppliers to mitigate risks related to stock shortages or quality issues.
  • Stock Master: Ensure item master in the ERP system is updated and accurate. Inform superiors to get approval for any necessary changes.
  • Defect Claims: Claim for defects in writing if defective goods are received. Ensure alternative substitutes are available for out-of-stock items or advise lead times to related parties.
  • Returns and GRNs: Issue purchase returns or GRNs for items that need to be sent back to suppliers, once approved by the superior.
  • Special Requests: Request suppliers for FOC items, special pricing, sponsorships, etc., as needed.
  • Cross-Department Collaboration: Liaise with sales personnel, site staff, suppliers, production, planner and warehouse teams to ensure goods are purchased, stored, and delivered on time.
  • Additional Duties: Perform any other duties assigned by management from time to time.
What we're looking for
  • Degree in Business Administration, Supply Chain Management, or related field.
  • 1 to 2 years working in related field of procurement / supply chain.
  • Strong organizational and communication skills.
  • Intermediate in MS Office (Excel, Word, Outlook); experience with ERP systems is an advantage.
  • Attention to detail and ability to multitask in a fast-paced environment.
