Job description

The Executive, Employee Engagement is responsible for creating a positive and engaging employee experience across the organisation. This includes managing end-to-end onboarding and offboarding processes, coordinating staff welfare and engagement programmes, promoting well-being and a supportive workplace culture, monitoring employee satisfaction and engagement, and providing administrative support to HR initiatives. The role ensures that employees are motivated, connected, and supported throughout their employment lifecycle, contributing to overall organisational productivity and morale.

Principal Accountabilities

1) Onboarding and Offboarding Responsibilities

a) Onboarding

Manage and coordinate the full onboarding programme to ensure a positive new hire experience, including pre-joining, induction, integration, engagement, evaluation, and follow-up check-ins.

Work with IT and relevant departments to ensure system access, email accounts, equipment, and workstations are fully prepared for the new employee, including organising welcome decks and sending welcome emails and announcements.

Conduct induction sessions as well as monthly full-day orientations for new employees.

Ensure timely receipt of new employee information from HRBP and update the New Staff Information listing promptly.

Schedule first and third month check‑in interviews with new hires, analyse interview feedback, and submit monthly reports to the management.

Oversee the ordering, stock management, and availability of onboarding materials such as ID tags, lanyards, uniforms, lab coats and others.

b) Offboarding

Manage and coordinate exit feedback sessions with departing employees alongside HR representatives to gather insights on their experience, understand reasons for leaving, identify areas for improvement, maintain positive relationships, and ensure a smooth off‑boarding process.

Analyse exit feedback, provide actionable recommendations, and submit monthly reports to management for review and decision‑making.

2) Employees Engagement & Wellness Activities

Plan, coordinate, and execute staff welfare and engagement programmes, including wellness activities, festival celebrations, competitions, townhalls, and other events to foster a positive workplace culture and boost morale.

Develop, implement, and monitor employee relations, wellness, and engagement initiatives in consultation with internal stakeholders and external partners to enhance motivation, productivity, and overall staff experience.

Oversee compassionate initiatives for staff, including support for bereaved or unwell employees, and promote well‑being through work‑life balance programmes.

Track, analyse, and report on staff satisfaction, engagement, absenteeism, grievances, and other workforce indicators to inform strategies for a healthier, more motivated workforce.

Produce and disseminate regular internal communications, including announcements, updates on employee movement (new hires, exits, transfers, appointments), and engagement activities.

Manage engagement programme budgets, monitor expenses, and report on participation, satisfaction outcomes, and ROI to the management.

Ensure the effectiveness of processes and policies related to employee engagement and wellness.

Execute employee engagement surveys, conduct focus group discussions, and collaborate with respective stakeholders to evaluate the survey outcomes. Determine appropriate action plans that align with the University’s objectives. This includes preparing management reports and updates on the engagement survey.

3) Other Administrative Support

Assist in handling HR Helpdesk enquiries and provide timely support to employees.

Support the planning and execution of events and initiatives, such as University Day, Long Service Awards, Staff Appreciation Awards, and other staff-related activities.

Perform general administrative duties to support HR and departmental functions.

Provide assistance with other ad hoc tasks and projects as required.

Job Requirement

Bachelor’s degree in Human Resource Management, Business Administration, Communications, Psychology, Public Relations, or a related field.

Additional certification in HR, Employee Engagement, Event Management is an added advantage.

1–3 years of working experience in employee engagement, HR operations, events management, internal communications, or a similar role.

Proficient in Microsoft Office (Word, Excel, PowerPoint)

Strong interpersonal and communication skills, both written and verbal.

Good organisational and event coordination abilities.

Creativity in designing engagement programmes and staff activities.

Able to analyse basic data (e.g., survey results, participation trends) and prepare simple reports.

Ability to work independently while collaborating effectively with internal stakeholders.
