A prominent company in Malaysia is seeking an experienced Executive Assistant to support the CEO directly. The role involves providing comprehensive administrative support, managing correspondence, and ensuring smooth operations at the executive level. The ideal candidate should have proven experience, strong organisational skills, and a high level of discretion. You will play a key role in keeping the CEO’s professional and administrative matters running smoothly, while gaining valuable insight into executive-level operations.
Executive & Administrative Support
Report directly to the CEO and provide comprehensive secretarial and administrative support.
Coordinate daily tasks with staff across all levels of the organisation.
Prepare, type, format, and edit reports, documents, and presentations.
Document & Records Management
Maintain and manage the CEO’s incoming and outgoing correspondence and filing systems.
Enter data, maintain databases, and ensure accurate record‑keeping.
Handle copying, scanning, and document management tasks efficiently.
Calendar & Correspondence Management
Manage internal and external correspondence on behalf of the CEO.
Schedule appointments, manage the CEO’s calendar, and send timely reminders.
Ensure communications are handled professionally, confidentially, and promptly.
Track and monitor the CEO’s monthly expenses, including personal property‑related payments, loan repayments, and utilities.
Liaise with relevant parties to ensure payments and records are accurate.
Basic accounting knowledge will be an advantage.
Coordination & Events
Organise meetings and events when required.
Assist with submission of documents to relevant authorities for proposed developments.
Coordinate with consultants, authorities, and internal departments as needed.
Governance & Compliance
Ensure established standards, procedures, and confidentiality requirements are adhered to at all times.
Carry out additional duties as assigned by the CEO or Management from time to time.
Proven experience as an Executive Assistant, Personal Assistant, or Senior Administrator.
Strong organisational and multitasking skills.
High level of discretion, professionalism, and attention to detail.
Excellent communication and document‑handling skills.
Comfortable working independently and coordinating across all levels.
Basic accounting or finance knowledge is an advantage.
