A manufacturing company in Ipoh, Perak, is looking for an Executive Support Specialist to assist senior management with administrative tasks, client relations, and coordinating departmental activities. Candidates should have a degree in Business Administration or Sales and at least 3 years of experience in a relevant field, particularly in manufacturing. The ideal candidate will possess strong communication skills and be proficient in Microsoft Office, demonstrating discretion and professionalism in all interactions. This role offers the chance to work in a dynamic environment.
Provide high-level administrative assistance to senior management, including managing calendars, travel arrangements, meetings, and appointments.
Represent key managers in addressing internal and external matters with professionalism and discretion.
Maintain organised records and databases with high standards of confidentiality and accuracy.
Assist in the planning and coordination of company events, meetings, conferences, and hosting guests.
Act as a key point of contact between the company and customers, supporting general sales inquiries, quotation proposals, and follow-up on orders.
Coordinate with internal departments (sales, production, logistics, QC) to ensure timely processing, delivery, and resolution of customer requests or issues.
Manage and track sales orders, billing documentation, and delivery schedules.
Provide regular updates to customers on order status, production timelines, and any changes.
Support day-to-day office operations to ensure functionality and efficiency of the workplace.
Help track and update departmental Objectives & Key Results (OKRs) and assist in related reporting or monitoring tasks.
Perform other ad-hoc assignments or duties as delegated by a superior from time to time.
Minimum Degree in Business Administration, Sales, or related field and Master holder with an advantage.
3+ years of relevant experience in executive support or sales coordination, preferably in a manufacturing or industrial environment.
Strong communication and interpersonal skills — must be confident interacting with both customers and internal teams.
Proficient in Microsoft Office.
Ability to multitask, prioritize, and remain calm under pressure.
