Job summary

A leading manufacturing company located in Penang seeks a Procurement Specialist to assist in managing the end-to-end procurement process, ensuring both quality and compliance. The ideal candidate will have a Bachelor’s Degree in Supply Chain Management or significant experience in technical purchasing. This role involves building supplier relationships, monitoring performance, and implementing improvements in procurement strategies. Strong analytical skills and proficiency in Microsoft Excel are essential as well as a keen understanding of quality systems like ISO standards.

  • Bachelor’s Degree in Supply Chain Management or equivalent; or minimum 8 years of working experience in technical purchasing.
  • Able to work independently with minimum supervision.
  • Good knowledge of Quality System like ISO 9001, ISO 13485 or AS9100.

Job description

Assist in the end-to-end procurement process to ensure purchased goods and services meet quality standards and specifications.

Identify and implement improvements in procurement processes to increase efficiency and reduce costs.

Build and maintain strong, long-term relationships with suppliers and vendors to ensure timely delivery and cost efficiency.

Monitor supplier performance and resolve any issues related to quality, pricing and delivery timelines.

Collaborate with internal teams to develop cost-effective strategies and negotiate favorable terms and pricing with suppliers.

Monitor market trends and identify opportunities for cost savings and process improvements.

Work closely with warehouse and planning teams to maintain optimal stock levels, ensuring the timely availability of components or parts while minimizing excess inventory.

Plan, schedule, administer and coordinate open purchase orders to ensure timely and accurate order processing, tracking and delivery of parts by suppliers to meet material planning schedules.

Follow up on purchase orders to ensure parts are received in good condition and on schedule.

Ensure that all procurement activities comply with company policies, standard operating procedures (SOPs), industry standards and regulatory requirements.

Monitor to ensure that suppliers adhere to agreed-upon quality specifications.

Prepare and maintain accurate records of purchases, contracts, invoices and supplier performance, including audit findings.

Prepare and present reports on procurement performance, cost savings and supplier performance.

Work closely with planning, production, quality assurance, sales operation, engineering and finance teams to ensure alignment between procurement activities and customer demand.

Participate in cross-functional meetings to address material requirements and issues.

Support team members in achieving their objectives and provide guidance on procurement practices.

Assist in the evaluation and auditing of suppliers to ensure they meet the company’s standards for quality, ethical practices, operations and regulatory compliance.

To perform any ad-hoc assignment assigned by Head of Department.

Job Requirement
  • Bachelor’s Degree in Supply Chain Management or equivalent; or minimum 8 years of working experience in technical purchasing field; or equivalent combination of education and experience.
  • Able to work independently with minimum supervision.
  • Strong in Microsoft Excel, analytical thinking, and communication skills.
  • Demonstrate good negotiation and problem-solving abilities.
  • Strong in organizing manpower and task on hand.
  • Detailed oriented and have sense of urgency.
  • Good leadership and management skills.
  • Supply Chain Management knowledge.
  • Good knowledge of Quality System like ISO 9001, ISO 13485 or AS9100.
