A manufacturing company in Malaysia is seeking an Employee Relations and HR Administration professional. You will plan and implement employee engagement initiatives, manage grievances, and ensure compliance with labor laws. The ideal candidate should have a Bachelor’s Degree in a relevant field and 5-7 years of experience in a unionised manufacturing environment. Excellent interpersonal and communication skills are essential for this role, which also involves a focus on employee branding and performance management.
Plan, Lead, Coordinate, and Implement employee branding, engagement, communication, and plant-wide activities.
Investigate, manage, and resolve employee grievances, complaints, and misconduct cases in accordance with company policies and Industrial Relations best practices.
Promote fair, consistent, and compliant application of company policies and procedures.
Provide guidance and advisory support to managers and employees on Employee Relations matters and HR policies.
Support HR communications initiatives across the organisation.
Manage new joiner administration, including onboarding coordination and related documentation.
Coordinate working calendars and statutory-related administrative matters, including local authority (PBT) licence renewals.
Liaise with government bodies and statutory agencies such as KWSP, PERKESO, and other relevant authorities.
Oversee reception and despatch operations.
Manage employee facilities and welfare services, including:
Canteen operations
Cleaning services
Uniforms, lockers, and flag management
Recreational areas
Coordinate plant-wide facilities-related activities in support of 5S and EMS initiatives.
Manage car park allocation, driver deployment, and company vehicle fleet administration.
Support the implementation and administration of performance appraisal cycles and Key Performance Indicators (KPIs).
Provide administrative and coordination support for performance improvement plans and disciplinary processes.
Ensure proper documentation, record-keeping, and maintenance of all Employee Relations and Industrial Relations activities.
Assist in the review, update, and implementation of HR policies to ensure compliance with legal and regulatory requirements.
Educate and brief employees and managers on HR policies, procedures, and disciplinary processes.
Lead and coordinate employee engagement initiatives and events, including:
Annual Dinner.
Family Day.
Quarterly HLYM Sports Events.
Annual HLMG Sports Events.
Supervise and monitor foreign worker-related matters, including:
Work permit renewal.
Hostel arrangements.
Transportation coordination.
Perform any other duties as assigned by the immediate superior from time to time.
Bachelor’s Degree in Human Resources, Industrial Relations, Law, or a related field.
Minimum 5–7 years of experience in Industrial Relations / Employee Relations, preferably within a unionised manufacturing environment.
Strong knowledge of Malaysian labour laws, disciplinary procedures, and dispute resolution processes.
Proficient in Employee Branding and Employee Communication strategies.
Proven ability to lead and organise plant-wide employee engagement activities effectively.
Demonstrated ability to handle sensitive and confidential matters with professionalism and discretion.
Excellent interpersonal, negotiation, and communication skills.
