Administrative Executive / Office Administrator
This role is the calm center of office—ensuring daily operations flow smoothly, management is well-supported, and issues are resolved with discretion, logic, and care. The Administrator acts as the bridge between people, processes, and priorities.
Key Responsibilities
- Office Operations & Daily Management
- Oversee day‑to‑day office operations to ensure a well‑organised, efficient, and professional working environment.
- Manage office supplies, facilities, vendors, and service providers.
- Handle ad‑hoc operational issues with speed, judgment, and practical solutions.
- Management Team Support
- Provide daily administrative support to the management team, including scheduling, coordination, and follow‑ups.
- Act as the first point of contact for internal requests and operational concerns from management.
- Assist in preparing reports, documents, presentations, and meeting materials.
- Coordination & Communication
- Track action items from management meetings and follow through on execution.
- Liaise with external parties (vendors, partners, building management) professionally.
- Support management in resolving daily operational challenges, staff requests, and urgent matters.
- Maintain confidentiality and exercise sound judgment in sensitive situations.
- Administrative & Record Management
- Maintain organised filing systems, records, and documentation.
- Support basic HR and finance administrative tasks when required (attendance, claims, onboarding).
Requirements
- Diploma or Degree in Business Administration or related field.
- Proven experience in an administrative or office management role.
- Strong organisational and multitasking skills.
- High level of professionalism, discretion, and reliability.
- Clear communication skills and a calm, solution‑oriented mindset.
- Proficiency in Microsoft Office / Google Workspace.
