Job description

The Administration provides general administrative and clerical support to ensure the smooth and efficient operation of the office. This role requires strong communication skills in English to interact professionally with clients, colleagues, and management.

Key Responsibilities
  • Obtain all permits and licenses to begin manufacturing.
  • Liaise with customs for inbound/outbound goods and regulatory movement of parts.
  • Coordinate with forwarders for inbound/outbound schedules.
  • Connect with suppliers with shipping info and purchasing requests.
  • Purchase parts and services in Malaysia and internationally for sales and operations.
  • Assist with other company establishment tasks.
  • Arrange meetings with relevant parties (e.g., MIDA) and provide updates to the manager every few days.
  • Answer calls, respond to emails, and manage correspondence.
  • Communicate clearly with internal/external parties.
  • Maintain organized office records, documents, and databases.
  • Schedule appointments, meetings, and manage calendars.
  • Prepare reports, letters, and documents in professional English.
  • Support office activities and team members.
  • Monitor and reorder office supplies.
  • Handle basic accounting or invoicing if required.
  • Support management with ad-hoc administrative tasks.
Required Skills and Qualifications
  • Proficient in English (essential for our Australian company)
  • Diploma (or equivalent) in Business Administration or related field
  • 2–3 years’ experience in administrative support, purchasing, supply chain, or import/export roles
  • Experience as purchasing/HR admin a plus
  • Driving license
  • Living in or have access to Ipoh (home base)
  • Able to work independently and in a team
  • High accuracy and attention to detail
