A leading technology firm in Malaysia is seeking an Administrative Support professional to assist Operations and Engineering teams. This role involves document maintenance, coordination of meetings, and liaising with stakeholders. Applicants should hold a diploma or bachelor’s degree in Business Administration or Engineering Management and possess 1-3 years of relevant administrative experience. Strong organizational and communication skills are essential. This position is fully onsite and requires a detail-oriented individual.
Provide administrative support to Operations and Engineering teams to ensure smooth daily operations.
Prepare, update, and maintain operational and engineering documents, including manpower records, shift schedules, attendance and overtime reports, maintenance logs, and equipment records.
Support administration tasks including access, lockers, PPE, smock and ESD shoes for new hires, and basic work arrangement coordination.
Coordinate meetings, training sessions, audits, and departmental activities, including preparation of documents and minutes.
Maintain proper document control and filing (softcopy and hardcopy) in compliance with company policies and audit requirements.
Liaise with internal stakeholders (HR, Finance, Procurement) and external vendors or contractors for service arrangements, purchase requisitions, and invoicing follow-ups.
Prepare regular reports and support ad-hoc administrative tasks or assignments as required by Operations or Engineering Management.
Diploma or Bachelor’s Degree in Business Administration, Engineering Management, or a related field.
Minimum 1–3 years of administrative experience, preferably in manufacturing, operations, or engineering environments.
Prior experience supporting engineering, or production teams will be an added advantage.
Strong administrative, organizational, and documentation skills.
Proficient in Microsoft Office (Excel, Word, PowerPoint).
Good coordination and follow-up skills with multiple stakeholders.
High attention to detail and ability to maintain accurate records.
Able to work in a fast-paced operations environment and handle multiple tasks simultaneously.
Good communication and interpersonal skills.
Responsible, proactive, and able to work independently with minimal supervision.
