Job summary

A growing vehicle leasing company based in Johor is seeking an organized Admin Executive to handle various administrative matters for approximately 100 leasing vehicles. The ideal candidate should have prior experience in the automotive or vehicle leasing industry, be familiar with Singapore government portals, and possess strong administrative skills. This role offers flexibility with working hours and the option to work from home. Interviews will be conducted via Microsoft Teams or Zoom.

  • Familiarity with Singapore government portals like OneMotoring (LTA), HDB, URA.
  • Ability to work independently and manage time effectively.

Responsibilities

  • Issue vehicle leasing contracts using provided templates.
  • Maintain vehicle lists for incoming and scrapped vehicles.
  • Track and manage insurance and road tax updates.
  • Monitor hirer payments and maintain database.

JL Group Auto Pte Ltd is an expanding vehicle leasing company based in Singapore. We are looking for a responsible and organised Admin Executive to manage administrative matters for approximately 100 leasing vehicles.

Important Pre‑Requisite: Only candidate with administrative work toward automotive related experience to apply.

Job Responsibilities
  • Issue vehicle leasing contracts (standard template provided)
  • Maintain and update car list for new incoming and scrapped vehicles
  • Purchase and renew vehicle insurance
  • Process refunds for unused insurance on scrapped vehicles
  • Track and manage insurance NCD
  • Ensure road tax is paid and kept up to date
  • Apply Vehicle Entry Permit (VEP) for newly purchased vehicles
  • Monitor, track, and follow up on hirer payments on a daily basis
  • Maintain and update hirer database
  • Furnish driver details for fines and summons via government portals
  • Daily payment status reports to manager
  • Maintain proper filing for vehicle log cards and insurance documents
  • Track vehicle‑related and company expenses
  • Prepare payment vouchers for invoices for approval
  • Arrange payment to vendors / staff (approval by director)
  • Manage and track company expense claims
  • Support accountant for yearly tax filing matters
Additional Advantage
  • Able to manage advertising enquiries by replying to Carousell and Facebook enquiries.
Requirements
  • Prior knowledge or experience in the automotive / vehicle leasing industry in Singapore
  • Familiar with Singapore government portals such as OneMotoring (LTA), HDB, URA, etc.
  • Highly organised, responsible, and able to work independently
  • Good administrative and follow‑up skills
  • Flexible working hours (8 hours per day)
  • Flexible working days: 5.5 days per week
  • Minimal supervision
  • Work from home or any location with internet access
