Job Description

We are seeking for a document controller typically involves managing, organizing, and controlling documents throughout various stages of their lifecycle and familiar with administration task within an organization.

Job Responsibilities
  1. Document Management: Maintain and update production‑related documents, including but not limited to, production schedules, work orders, quality control reports, and standard operating procedures (SOPs). Ensure all documents are correctly labeled, filed, and stored in both physical and electronic formats.
  2. Compliance and Quality Assurance: Ensure all production documents comply with company policies, industry standards, and regulatory requirements.
    Regularly review and audit documents for accuracy and completeness.
    Implement and maintain document control procedures to ensure high standards of quality and compliance.
  3. Coordination and Communication: Collaborate with production teams to gather, update, and distribute necessary documents.
    Serve as the point of contact for document‑related inquiries and issues.
    Provide training and support to staff on document control processes and best practices.
  4. Records Management: Ensure all company documents, including technical records, drawings, contracts, reports, and correspondence, are accurately filed, updated, and archived in both physical and electronic formats.
    Implement and maintain a structured document control system that ensures version control, traceability, and timely retrieval of records.
    Assist in verify attendance record of staff to ensure a smooth payroll process.
Qualifications
  • Education: Diploma OR Bachelor’s degree in Business Administration, Human Resources, Design or a related field.
  • Experience: 0-3 years of experience in document control and payroll administration, preferably in a production or manufacturing environment.
  • Proficient in document management systems.
  • Speak good mandarin as these personnel will be the point of contact with the counter part from China, Headquarter.
  • Excellent attention to detail and accuracy.
  • Good communication and interpersonal skills.
