Job summary

A construction and engineering company in Penang is seeking an Admin Executive to provide administrative support and handle quotations in a dynamic environment. The ideal candidate should possess a degree in Business Administration with proficiency in Microsoft Excel. Previous experience in the construction industry and good communication skills are advantageous. Qualifications

  • Candidate must possess at least Diploma in Business Studies/Administration/Engineering or equivalent.
  • 1-3 years of experience in quotation, costing, or admin support.
  • Basic understanding of engineering or construction terms is an advantage.

Responsibilities

  • Prepare quotation and liaise with the Project Engineer to ensure customer needs are met.
  • Regularly check and promptly respond to customer emails.
  • Perform general administrative tasks, including filing and checking contracts.

Convert information and findings from site engineers into presentable data.

Ensure descriptions match the job scope stated in the RFQ.

Verify that site engineers provide proof to support their data and pricing.

Identify the job scope(s) that shall be subjected to SST charges.

Facilitate internal communication, co-operation and liaison to complete tasks.

Follow up with site engineers on pending RFQs.

Required Skills and Qualifications

Candidate must possess at least Diploma in Business Studies/Administration/Engineering or equivalent.

Preferable at least 1 year of working experience in Clerical / Administrative Support or equivalent in Engineering related field.

Proficient in Microsoft Office applications, especially Microsoft Excel.

Proficiency in reading Mandaring is an added advantage.

Quotation Admin
Key Responsibilities
  • Prepare quotation and liaise with the Project Engineer (PE) to ensure customer needs are met.
  • Regularly check and promptly respond to customer emails, maintaining professional communication.
  • Submit all quotation to customer on time.
  • Participate in e-bidding/ auction event.
  • Handle payments for CIDB levies and contract stamping required for projects or jobs.
  • Undertake other related tasks as directed by the superior from time to time.
  • Perform general administrative tasks, including filing, typing, checking, and coordinating the stamping of contracts and bonds.
Required Skills and Qualifications
  • Diploma or Degree in Business Administration. Finance, or related field
  • 1-3 years of experience in quotation, costing, or admin support (fresh graduates encouraged to apply)
  • Basic understanding of engineering or construction terms is an advantage
  • Proficient in Microsoft Excel, Word, and basic data entry
  • Detail-oriented, accurate, and organized
  • Good communication and teamwork skills
  • Able to meet deadlines and handle multiple tasks
  • Positive attitude and willingness to learn
Admin Executive (QS)
Key Responsibilities
  • Good interpersonal, written and verbal communication skills.
  • Strong attention to detail and Proficiency in Microsoft Office Suite. (Words, Excel, Power Point)
  • Excellent organizational, multi-tasking and time-management abilities.
  • Organizing and filing electronic and hardcopy documents, preparing correspondence, and maintaining records are essential. i.e. project documents, such as plans, contracts, permits, invoices, changes orders and submittals.
  • Assist Quantity Surveyor in various activities for tender, claim purposes and etc.
  • Prepare and look through a variety of documents, including general correspondence, memos and reports.
  • To support a construction department or project, including handling calls, emails and taking minutes.
  • Assisting with bid processes and providing general office support.
  • Handle date entry, update spreadsheets and maintain databases
  • Ability to identify and help solve problems as they arise.
Required Skills and Qualifications
  • Min Degree and above.
  • At least 1-5 years working experiences in construction & property development.
  • Relevant knowledge/skill is added advantage.
  • Previous clerical or administrative experience especially within the construction industry is preferred.
