Primary Purpose

Located in the Gordon Oakes Red Bear Student Centre, the Administrative Coordinator is an integral part of our team and serves as the primary point of engagement for students, staff, and community members. Beyond administrative duties, the role actively supports student success by fostering a welcoming and inclusive environment, facilitating access to resources, and coordinating communications and logistics that enhance the student experience.

Nature of Work

Reporting to the Director, Gordon Oakes Red Bear Student Centre, this position balances clerical support, front‑paced student service, and contributions to broader Centre initiatives. The successful candidate will exercise independent judgment within established guidelines to respond to or refer inquiries, while also assisting in the design, delivery, and implementation of strategic planning initiatives.

Work is performed in a fast‑paced environment requiring strong organizational and interpersonal skills, attention to detail, and the ability to manage multiple competing priorities. Flexibility is essential, as some overtime may be required during peak periods.

The Administrative Coordinator is a key member of the Gordon Oakes Red Bear Student Centre team, engaging directly with students and supporting initiatives that contribute to Indigenous student academic experience and success.

Front‑Line Student Support
  • Provides culturally respectful, first‑point‑of‑contact support to students, staff, and visitors in‑person, by phone, and by email.
  • Offers information about Indigenous student supports, referrals to appropriate services, and assistance navigating campus resources.
  • Maintains a welcoming and professional Centre environment.
  • Provides guidance and mentoring support to students on an individual basis as needed.
Administrative Support
  • Manages Centre calendars, coordinates meetings, prepares agendas and minutes.
  • Maintains office statistics including event attendance, number and types of enquiries, and use of Centre services such as student faxing, room usage, and referrals.
  • Prepares a variety of documents, reports, and presentations as required.
  • Provides administrative support for programs, services, and events such as Indigenous Student Welcome, Indigenous Achievement Week, including logistics such as location bookings, catering services, equipment rental, purchasing materials, providing or arranging transportation, and making travel arrangements when necessary.
  • Exercises decision‑making and problem‑solving to ensure priorities and deadlines are met and takes initiative to move beyond completion of assigned tasks to plan for future changes or requirements.
Supervision and Student Staff Leadership
  • Provides leadership, scheduling, and oversight to the Centre’s student assistants, ensuring alignment with the Centre’s service standards and cultural protocols.
  • Supports student staff recruitment, onboarding, and training, fostering a positive, inclusive, and professional work environment that models the values of ohpahotân | oohpaahotaan.
  • Monitors workload distribution, provides day‑to‑day guidance, and supports and mentorship opportunities for student assistants.
Finance & Operations
  • Assists the Director in maintaining, preparing and reconciling monthly, quarterly, and yearly budgets as well as monthly reconciliation of P‑Card for the Centre.
  • Processes financial transactions including honoraria, vendor payments, and service contracts within the Centre.
  • Coordinates work and service requests with Facilities Management Division, IT Services and Support, and Telephone Services, and other on and off‑campus vendors.
Space & Facility Coordination
  • Manages booking requests and coordination of logistics for Centre space.
  • Serves as the main contact and resource person for space, building and maintenance, IT, safety and office equipment.
  • Responsible for access control, including stewardship of office keys and fobs.
Strategic Planning & Centre Development
  • Assists the Director with the design, implementation, and delivery of the Centre’s strategic planning framework.
  • Co‑ordinates and supports the implementation of ohpahotân | oohpaahotaan – Let’s Fly Up Together, the Indigenous Strategy for the University of Saskatchewan, within the Centre by aligning operations, programming, and communication practices with the strategy’s guiding principles.
  • Tracks, evaluates, and reports on progress toward strategic goals and milestones related to Indigenous student success and community engagement within the Centre.
  • Contributes to the ongoing development of processes, policies, and initiatives that align with the Office of the Vice‑Provost Indigenous Engagement’s priorities.
  • Supports other duties as assigned by the Director.
Education

Completion of a recognized post‑secondary administrative program diploma is required. A business administration certificate or an undergraduate degree in a related field would be considered an asset. An equivalent level of education and experience may be considered.

Experience
  • Minimum five years of related experience, preferably in a student‑focused, post‑secondary setting.
  • Direct experience working with Métis, First Nations, and Inuit people and communities is essential.
  • Experience with strategic planning, budgeting, and financial reporting is an asset.
  • Must hold and maintain a valid Saskatchewan driver’s license with an acceptable driving record.
