About The Role
We are seeking a presentable and experienced Office Manager to join our Administration team. The ideal candidate will handle various daily office tasks, including scheduling meetings, managing office supplies, greeting visitors, and providing general administrative support.
The successful candidate will possess excellent communication skills, along with problem-solving, decision-making, team building, conflict resolution, negotiation, and stress management skills.
Reporting line: Office Management Team Lead
Location: On Site / Dubai office
Responsibilities
- Provide comprehensive administrative support for two office locations, ensuring smooth daily operations.
- Oversee technical repairs, maintenance, cleanliness, and manage office supplies.
- Sort and distribute incoming mail and packages.
- Manage office documents, including photocopying, scanning, and filing.
- Process invoices, manage invoice filing, and contribute to budget efforts; prepare monthly expense reports.
- Conduct regular inventories of office supplies and equipment.
- Provide professional reception services and handle inquiries.
- Liaise with vendors and suppliers, negotiate service agreements.
- Build and maintain positive relationships with clients and suppliers.
- Coordinate meetings and events, including logistics and catering.
- Support C-level management discreetly and professionally.
- Assist a Director and their PA, and collaborate with the Regional Head of Sales and their PA.
- Perform other tasks as assigned by management.
Requirements
- Minimum A-Level education; a degree in Hospitality Management is a plus.
- At least two years of experience in office administration or as a personal assistant; experience in luxury hospitality settings is advantageous.
- Excellent written and verbal English communication skills; additional languages are beneficial.
- Strong organizational skills with meticulous attention to detail.
- Ability to thrive in a fast-paced, dynamic environment.
- Excellent hospitality and interpersonal skills.
- Proficiency in Excel/Google Sheets.
