Job description

Role Purpose:

This role is responsible for the smooth and efficient operation of the Board Chairman’s office to enable the Executive Board Chairman to focus on business growth and sustainability.

This role will also play an important role in supporting the organisation’s broader Leadership team, their performance and delivering on their strategic and operational goals.

Role & Responsibilities:

  • Coordination of the Executive Board Chairman’s daily calendar, schedule, correspondence, appointments, meetings, travel arrangements, communications, and other business requirements/arrangements.
  • Briefing and updating the Executive Board Chairman on organisation’s daily key priority matters as required in liaison with all business operational areas, acting as a Gate Keeper.
  • Support all Team members at GBS and Group level with queries, documents, Chairman’s availability, and daily business and operational enquiries.
  • Organising and attending various Board meetings; supporting the arrangements required for board meetings and Board members.
  • Coordinating and organising meetings with different level of stakeholders that Chairman involved.
  • Having an access and completing approvals on the behalf Chairman on various operational systems and corporate bank accounts for his direct reports.
  • Secretarial Support & Holding Company’s legal files agreements and contracts.
  • Create and manage an effective filing and e-filing system for the Executive Board Chairman (emails, physical copies, and other electronic documents) that is easily understandable and accessible.
  • Act with high level of integrity and discretion in handling confidential information
  • Liaising with the Finance department on all financial aspects of expenditure and invoices of Senior Team members.
  • Ensure smooth and efficient functioning of the Executive Board Chairman’s office by coordinating with other operational areas.
  • Facilitate and manage the Chair office’s budget requirements and monitor accordingly.
  • Receive and host visitors to the Board Chairman’s Office, or for Board/Leadership meetings.

Essential Skills and Experience:

  • Master's degree in business.
  • Experience and understanding of education sector GBS operate in Excellent leadership skills.
  • know how to coordinate and manage and liaise with employees while still fostering positive relationships.
  • Able to establish budgets and make effective financial decisions
  • Can manage contracts and negotiations with internal or external workers.
  • Have an analytical and critical mindset for evaluating existing data and making the best business decisions.
  • Be able to keep composure under pressure.
  • High ethical standards.
  • Excellent communication skills, both oral and written
