Zebra Medical is seeking a detail-oriented and proactive Junior Office Manager to support our expanding operations team.

This role is ideal for a motivated individual who thrives in a structured, fast-paced environment and takes pride in maintaining operational excellence, accuracy, and compliance across all areas of the business.

You will play a vital part in ensuring seamless daily operations — supporting accounting, logistics, stock control, and administration — while upholding Zebra Medical's commitment to Care Without Compromise.

Key Responsibilities
  • Understand basic bookkeeping functions / accounting concepts and assist with financial record-keeping.
  • Review and maintain legal agreements, regulatory documentation, and key business records.
  • Coordinate freight, import, and export processes to ensure accuracy, compliance, and timely delivery in collaboration with our freight forwarder and warehouse staff.
  • Conduct stock movement investigations and maintain precise stock control records.
  • Add new stock items from suppliers to our inventory software system, ensuring accuracy with batch numbers, expiry dates, and GRV documentation.
  • Support warehouse operations when and where required, including storage, dispatch, and inventory reconciliation especially when discrepancies arise.
  • Manage and reconcile consignment stock.
  • Onboard new customers, ensuring all documentation, pricing, and records are captured accurately.
  • Process vendor applications and maintain up-to-date supplier information.
  • Administer and manage hospital / supplier systems and other customer or supplier portals.
  • Provide proactive administrative and operational support to management, the sales team and warehouse staff as and when required.
Requirements
  • Minimum 2 years' experience in administration or office management, preferably within another medical device distribution company or similar, such as logistics, distribution, supply chain environment, retail, FMCG, import / export etc.
  • Solid understanding of basic accounting principles, stock management, and import / export operations.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with Xero and DEAR inventory management system (advantageous).
  • Knowledge of regulatory or quality management systems in South African healthcare environment (advantageous).
  • Tertiary qualification in finance, supply chain / logistics management, business management or general office administration within the industries above (highly advantageous).
  • Experience in utilising the likes of CHATGPT (or similar) in work environment (highly advantageous).
Preferred Skills and Attributes
  • Knowledge of supply chain, invoicing, and consignment procedures.
  • Any experience with medical device compliance or documentation management.
  • Excellent communication, organizational, and analytical abilities.
  • Dependable, self-motivated, and strong attention to detail.
  • Able to work effectively under pressure and meet deadlines.
  • Professional, collaborative, and adaptable team player.
