Job summary

A leading construction firm based in Singapore is seeking an Office Administrator to manage office and HR responsibilities, including stock management and vendor liaison. The ideal candidate holds a Diploma, has at least 2 years of HR experience, and is able to self-prioritize tasks. Bilingual skills in English and Mandarin would be advantageous. Job description
Office Administration
  • Manage stationaries, uniform and ensure stock is well replenished for the whole company
  • Liaise and coordinate with vendors on office maintenance requirements for HQ office including facilities and office equipment.
  • Manage dormitory rental, carpark reservations
  • Responsible for the renewal contract, termination letter, warning letter as required
  • Manage the incoming phone calls and guests are attended promptly.
  • Sourcing & Renew the project insurance, bond, contractor all risks and handling WIC claim, Medical claim and vehicle claim
  • Sourcing quotations for machinery rental unit as required by project site
  • Any other tasks as assigned.
HR Administration
  • Prepare new joiner’s basic necessities such as contract, computer and uniform
  • Familiar with WP, S pass and EP application for foreign employees
  • Responsible for Hotel and Flight Bookings for repatriation of foreign employees.
  • Maintain and upkeep machinery license as required.
  • Coordinate events such as annual dinner and any other office or HR events.
  • File IR21 for resigning worker/staff
  • Check and verify all HR and Admin-related invoices and supplier invoices
  • Any other tasks as assigned.
Requirements
  • Minimum Diploma with 2 years of HR administration experience
  • Able to self-prioritise and perform with minimum supervision
  • Ability to demonstrate initiative and reliability
  • Bilingual in English and Mandarin would be an added advantage (to liaise with Mandarin speaking PRC worker)
  • Possesses basic computer knowledge and familiar with MS Word, Excel and Outlook
