SUMMARY
Catalent Singapore is currently looking for aFacilities Manager who will oversee the facility maintenance, site EHS and security.
This position will:
Manage the site's Facilities Maintenance programme, ensuring compliance with regulations and driving operational excellence.
Lead a small internal team while overseeing external maintenance and validation contractors, ensuring adherence to safety, efficiency, and regulatory standards.
Collaborate with cross-functional teams, including Operations and Quality Assurance, to integrate best practices into daily operations.
Represent the site in Facility and EHS audits, as well as global and local meetings, ensuring alignment with company-wide policies and continuous improvement initiatives.
KEY RESPONSIBILITIES
Team & Vendor Management
Team Leadership: Supervise and mentor maintenance and EHS technicians, offering guidance and support to foster professional growth. Design and implement training programs to enhance team expertise, ensuring continuous development. Conduct performance reviews for all staff to track progress and drive improvement.
External Contractor Oversight: Collaborate with the procurement team to source and onboard qualified vendors for facilities management, cleaning, and GMP equipment validation. Establish and maintain strong supplier relationships, ensuring compliance with standards and seamless operational coordination.
Facilities Management
Facility Systems and Equipment Management: Oversee the maintenance and operation of all essential facility systems and equipment, including HVAC, plumbing, utilities, walk-in cold and freezer rooms, backup generators, ultra-low temperature freezers, and temperature monitoring systems. Ensure all equipment remains in optimal working condition by coordinating with approved vendors for maintenance, calibration, and mapping, in strict compliance with SOPs.
Maintenance: Develop and execute comprehensive preventive maintenance programs to enhance equipment reliability and longevity. Efficiently oversee and coordinate unplanned maintenance activities, ensuring swift repairs to minimize downtime and optimize cost-effectiveness.
Out of Hours Cover: Manage an on-call program to promptly address unexpected incidents, including temperature excursions, equipment failures, and power outages. Ensure rapid response protocols are in place to minimize operational disruptions and safeguard critical systems.
Documentation & SOPs: Ensure compliant record-keeping of all maintenance activities, including work orders, reports, and logs. Establish and uphold SOPs governing facilities maintenance and security, guaranteeing operational consistency and regulatory adherence.
Quality Reporting: Ensure quality change controls and deviations are written to effectively track and document facility and equipment modifications or out-of-specification occurrences. Ensure continuous improvement through accurate reporting and corrective actions.
Audits: Represent the Facilities and EHS department during facility audits. Facilitate audit readiness by addressing inquiries, providing necessary records, and implementing corrective actions as needed.
Continuous Improvement: Proactively assess maintenance processes and procedures to identify efficiency gaps and enhancement opportunities. Implement strategic improvements to optimize reliability, streamline operations, and drive long-term effectiveness.
Coordination: Collaborate with other departments, such as production, and quality assurance, to ensure smooth operations.
Budget Strategy: Manage the maintenance budget effectively, ensuring resources are allocated appropriately.Develop and implement maintenance strategies to optimize equipment reliability, minimize downtime, and reduce costs.
Capital Planning: Assist with the development of long-term capital plans for facility improvement, repairs, and financial planning
Sustainability: Oversee and drive sustainability initiatives, managing projects that enhance environmental responsibility. Monitor and analyze energy consumption and site recycling efforts, providing comprehensive reports to support continuous improvement and regulatory compliance.
POSITION REQUIREMENTS:
Education
· Bachelor’s degree (or equivalent) in Engineering, Occupational Health, or a related field.
Experience
· 5 years of experience preferably in Facilities Management in a clinical trial, pharmaceutical, or healthcare setting.
· 2 to 3 years of management experience required.
· Experience managing regulatory compliance, risk assessments, and audits.
· Knowledge of Good Manufacturing Practice (GMP) standards is a plus.
