The Pharmacy Manager participates and advises management on plans and strategies that reflect HMG and the customer’s vision, mission and values. Responsibilities include managing the overall and day-to-day operations of the in-patient and out-patient pharmacy, establishing policies, procedures, standards and objectives for the provision of services, coordinating with other departments to provide maximum level of services, managing an operating budget and expense and revenue performance, managing staff, stocks, supply chain finance, support administration and ensuring quality staff performance through effective supervision, and maintaining compliance with regulatory agencies.
Manages the Pharmacy department for the provision of services. Evaluates performance and maintains quality assurance. Coordinates with other departments to provide the maximum level of services to patients and hospital staff. Responsible for ROI and expansion as per the company policy. Responsible for processing, reviewing and filing of insurance company and company claims and follow up of objections. Responsible for accurate and timely processing of claims payments and reconciliations from companies and insurance companies.
Key Responsibilities / Accountabilities :
- Responsible for the majority of the operations of the pharmacy division in the project.
- Advises and reports to Management to ensure patients’ pharmaceutical needs are effectively met by establishing staffing mix, policies, procedures, standards, and objectives for the provision of services.
- Advises and oversees the integration of pharmacy practice within hospital operations by coordinating resources to provide maximum level of services to patients and customers.
- Actively contributes in developing and implementing policies related to patient safety, pharmaceutical quality service, etc.
- Actively participates in various hospital committees such as P&T, infection control, etc.
- Responsible for general service availability as well as staff discipline and is authorized to take corrective measures.
- Actively participates in building the Habib Medical Group relationship with customers by including new business implementation and automation needs assessment, planning, organizing, and directing pharmacy department efforts to monitor the quality of staff performance and the effectiveness of pharmacy programs, including workflow redesign and staff schedule preparation.
- Ensures compliance with regulatory agencies and registration/license requirements, if any, at assigned locations.
Revenue Management
- Cash collection process.
- Cash deposit and reconciliations.
- Credit invoicing and collection process.
- Monitoring of cash transactions, including review of reconciliation of bank accounts and settlement of span/credit card collections.
- Salary purchases and its collections.
- Monitoring of discounts given by pharmacy to staff and others.
Purchasing Management
- Initial approval of all contracts with suppliers for terms, conditions, deals, discounts, rights and duties.
- Review and approval of purchase requests/orders and standing orders.
- Reviews, monitors, approves and limits cash purchases for pharmacies.
- Management of petty cash fund for departmental and cash purchases purposes.
- Approval of all payments to suppliers and related supporting documents to ensure adequacy and validity.
- Management of invoice processing and materialization of cash discounts.
- Manages supplier relations and accounts.
- Approval of all new stock and consignment items for pharmacy.
Inventory Management
- Monitoring and controlling stock levels.
- Monitoring and recommending economic order quantities and reorder levels.
- Review of inventory records and movements.
- Management of year-end physical inventory process and adjustments.
- Management of risk allowance accruals and settlements.
Pricing Management
- Review of pricing mechanism of pharmacy services such as compounding, UD, IV, etc.
- Monitoring compliance with pricing policies.
- Various analyses on pricing and gross profits together with suggestions to management.
Administration
- Administration of Finance-Pharmacy Department.
- Effective and efficient utilization of departmental personnel and other resources.
- Definition and delegation of job responsibilities.
- Design and implementation of internal controls.
- Coordination with other departments like Personnel, TQM, Admin Support Services, etc.
- Ensure staff provide patient/family education as per needs.
- Participate in, and lead person-centered care initiatives undertaken by HMG.
- Enrich patient experience with compassion, respect, and dignity.
- Perform other applicable tasks and duties assigned within the realm of knowledge, skills, and abilities.
Job Purpose / Objective :

Education/ Professional Qualification:
- Bachelor of pharmacy from an accredited university.
- Master’s Degree in Pharmacy is preferred.
Experience:
- Minimum Eight (8) years experience as a Chief Pharmacist/ Department of Pharmacy Manager or Assistant Chief/ Assistant Pharmacy Manager; or any equivalent combination of training and experience.
Professional Licensing / Certification / Training:
- Must be licensable by Ministry of Health.
- Must hold a valid Saudi Council License.
- Full professional qualification from a recognized accounting body along with hands-on experience in leading the pharmacy division.
