A. Department Management & Team Building
- Be responsible for overall operation and management of the Warehouse Department, formulate the department's annual, quarterly, monthly work goals and work plans according to the factory's production plan, order delivery needs, decompose them to each subordinate position (warehouse, accounting, loading, unloading etc), clarify the division of labor and assign responsibilities to individuals, supervise the implementation of the plans, regularly review work results and optimize work schemes.
- Coordinate the recruitment, training, assessment, motivation and management of the subordinate team, establish and improve the employee performance appraisal, payroll, welfare & training system (focus on warehouse operation, goods protection, forklift safety, emergency disposal, other training), improve employees' professional skills, safety awareness, sense of responsibility, build a high-quality and high-execution warehouse team.
- Create a collaborative, efficient, safe and orderly working atmosphere in the department, coordinate & solve difficulties, problems in employees' work, strengthen cross-departmental collaboration (docking with production, procurement, sales, technical quality, logistics, other departments) to ensure the smooth progress of warehouse receiving, issuing, storage, material allocation etc; strictly abide by Malaysian labor laws & regulations, standardize employee working hours, attendance, labor contract management and avoid labor disputes.
B. Warehouse Planning & Facility Management
- For overall planning and optimization of the warehouse area, divide functional areas such as raw material, semi‑finished product, finished product, accessory, waste and dangerous goods warehouses (such as paint & solvent, adapted to the spraying process) according to the characteristics of fitness equipment warehousing, reasonably plan storage locations (special area for large finished products, precision accessories & fragile materials), optimize goods stacking methods and improve warehouse space utilization.
- Coordinate full life cycle management of warehouse facilities and equipment, inc. shelves, forklifts, pallets, cranes, moisture‑proof equipment, monitoring equipment, fire‑fighting facilities etc, formulate procurement, installation, commissioning, maintenance & repair plans, supervise equipment operation & maintenance work, ensure normal equipment operation; regularly check the integrity of warehouse facilities, rectify damage, aging problems in a timely manner; ensure the safety of warehouse operations.
- For environmental management of the warehouse area, implement moisture‑proof, dust‑proof, high‑temperature‑proof, corrosion‑proof, rat and insect‑proof and other protective measures, regularly carry out cleaning & ventilation of the warehouse area, ensure that the storage environment meets the storage requirements of fitness equipment (especially electronic components, precision accessories), avoid goods damage; strictly abide by Malaysian environmental protection regulations, standardize the storage, disposal of waste, dangerous goods and avoid environmental pollution.
C. Material & Inventory Control
- Coordinate the entire process management of warehouse material receiving, issuing and storage, formulate material receiving, issuing management specifications and supervise warehouse keepers to strictly implement them: check purchase orders and inspection reports before raw material warehousing to confirm that the material specifications, quantity and quality meet the requirements (adapted to fitness equipment pipes, steel, accessories etc); issue production materials on demand and do a good job in receiving registration; check production batches and quality inspection reports for finished product warehousing, and stack them standardized after confirming qualification; check sales orders and delivery addresses for finished product delivery to ensure accurate shipment.
- For overall inventory control, establish and improve the inventory account (manual account + system account), supervise the accountant to do a good job in the warehousing, issuing inventory records of materials and finished products to ensure that the accounts are consistent with the actual; accounts are consistent with each other; regularly organize inventory checks (daily small inventory, monthly large inventory), investigate inventory differences, analyze the causes of differences, formulate rectification measures and form closed‑loop management; focus on controlling unsalable, overstocked materials & finished products, put forward handling suggestions (such as rework, discount, scrapping) and reduce capital occupation.
- For material safety stock management, formulate the safety stock standards for various types of materials (fitness equipment raw materials, accessories) according to the production plan, procurement cycle, material consumption speed, monitor the inventory dynamics in real time, report to the procurement department and production director in a timely manner when the inventory is lower than the safety standard to ensure stable supply of production materials and avoid production impact due to material shortage; at the same time, control the inventory upper limit to avoid material overstock and waste.
D. Logistics Coordination & Goods Protection
- Coordinate the collaboration between warehousing and logistics, dock with logistics suppliers (local Malaysian logistics, international logistics), optimize logistics schemes, negotiate logistics prices and delivery cycles, supervise the entire process of finished product delivery, loading and transportation and ensure that fitness equipment finished products (large and precision) are safely and timely delivered to customers (local distributors, overseas customers); track logistics progress and timely handle problems such as goods damage, loss and delay in the logistics process.
- For goods protection management, formulate differentiated protection measures according to the characteristics of fitness equipment: large finished products (treadmills, multi‑functional trainers) are packaged and reinforced to prevent collision; precision accessories are packaged to prevent moisture, dust and vibration; fragile materials are stored separately and marked with protection signs; Supervise employees to ensure standardized operations and prevent damage and deformation of goods during receiving, issuing, stacking, loading and unloading.
- For warehouse docking of import and export materials and finished products (if involved), cooperate with customs and customs brokers to complete relevant work such as goods inspection, customs declaration and inspection to ensure the compliant customs clearance of import and export goods; establish a special account for import and export goods, do a good job in recording and archiving, and comply with Malaysian customs supervision requirements.
E. Safety Management & Cost Control
- For overall management of production safety in the Warehouse Department, strictly abide by the Malaysian , establish and improve the warehouse production safety management system and safety emergency plan (fire, goods collapse, forklift accident, dangerous goods leakage, etc), supervise employees to correctly wear labor protection equipment, standardize the operation of forklifts, cranes and other equipment, regularly investigate potential safety hazards, and rectify problems in a timely manner.
- Organize employees to carry out production safety training and emergency drills to improve employees' safety awareness and emergency disposal ability; be responsible for the initial investigation, reporting and follow‑up handling of warehouse safety accidents to prevent similar accidents from happening again; strictly implement fire safety requirements, regularly check fire‑fighting facilities to ensure they are intact and effective, and organize employees to carry out fire safety knowledge training and drills.
- For overall control of warehouse costs, formulate cost control plans, supervise material loss, equipment loss, labor costs, energy consumption, etc. in the warehouse process, optimize the warehouse process, and reduce waste (such as rational use of warehouse space, optimization of material receiving and issuing process, standardization of equipment use); regularly analyze the composition of warehouse costs, put forward cost optimization suggestions and achieve the goal of reducing costs and increasing efficiency.
F. Compliance & Other Work
- Strictly abide by local Malaysian laws and regulations (Labor Law, Environmental Protection Law, Production Safety Law, Customs Law, Product Quality Law, etc.) and company rules and regulations, ensure that all work of the Warehouse Department is fully compliant, timely respond to policy adjustments and avoid compliance risks and related penalties.
- Regularly report department's work (warehouse planning, material control, inventory management, safety management, cost control, etc.) to the production director/supply chain director, submit warehouse reports, inventory reports, cost analysis reports etc, put forward work improvement suggestions and implement various work instructions issued by superiors.
- Cooperate with the Technical & Quality Department to carry out material and finished product quality inspection, unqualified product disposal and other work; cooperate with the Procurement Department to carry out supplier material acceptance, return and exchange; complete other temporary work tasks assigned by superiors (such as warehouse rectification, emergency goods transfer, special material inventory work etc).
Requirements
- Age: 28-48 years old, in good health, energetic, able to adapt to the work rhythm of warehouse overall management, accept flexible on‑duty & emergency disposal work and be able to occasionally go deep into the warehouse front line to carry out work.
- Language: Proficient in Malay and English for communication, negotiation, document processing, business docking and those who can communicate in Chinese are preferred; have good bilingual writing ability in Chinese & English; can independently write warehouse reports, management systems, work summaries and other official documents.
- Education: College degree or above, preferably in Warehouse Management, Logistics Management, Supply Chain Management, Business Administration, or other related fields. The applicants with more than 5 years of warehouse management experience in the fitness equipment industry may have the education requirement to a secondary school qualification.
- Industry Experience: More than 5 years of warehouse management experience, including more than 3 years of warehouse management experience in the fitness equipment industry or large industrial products, familiar with the characteristics of fitness equipment warehousing (large finished products, precision accessories, fragile materials), and familiar with the storage requirements and protection methods of fitness equipment raw materials, semi‑finished products and finished products; those with manufacturing warehouse management experience and familiar with customs regulations (involving import and export) and production safety regulations are a top priority.
- Management Skills: Excellent overall management ability, team management ability, cross‑departmental collaboration ability and problem‑solving ability, able to independently coordinate the entire process of warehouse planning, material control, logistics coordination etc; have strong organization, coordination ability and decision‑making ability, able to effectively motivate the team and promote the implementation of various work; able to properly handle warehouse emergencies (material shortage, goods damage, safety accidents etc).
- Professional Skills: Familiar with warehouse management processes and inventory control methods, able to skillfully operate warehouse management systems (WMS), office software (Excel, Word, PPT), have strong data analysis ability and able to optimize management plans through inventory, loss, other data; understand the basic principles, operation and maintenance methods of fitness equipment warehouse facilities and equipment (forklifts, cranes, moisture‑proof equipment etc); familiar with customs declaration and inspection processes (preferred for those involving import & export).
- Compliance Capability: Familiar with local regulations related to labor, environmental protection, occupational safety, customs, other relevant requirements. Possesses strong compliance management awareness, risk prevention capabilities, ensuring that all warehouse department operations are conducted in compliance and effectively avoiding compliance risks, related penalties.
- Professional Quality: Strong sense of responsibility, professionalism and dedication, adherence to the principle of integrity, able to take responsibility for the overall management of the Warehouse Department, ensuring the orderly, efficient and safe development of warehouse work.
- Communication and Collaboration: Good communication and expression ability, negotiation ability, able to effectively dock with government departments, customs, logistics suppliers, various departments of the company and subordinate employees, efficiently convey instructions and solve problems.
