Job description
Warehouse Executive

We are looking for a Warehouse Executive to support the warehouse operations, this include overseeing the receiving, checking, storing, and issuance of stationery inventory. You will be playing a critical role to ensure accuracy in stock records, establishes and maintains warehouse Standard Operating Procedures (SOPs), and enforces safety and 6S standards to achieve high operational efficiency and a well-organized warehouse environment.

Job Responsibility:
Receiving & Checking of Stationery Items
  • Receive all incoming stationery supplies from suppliers.
  • Verify delivered items against Purchase Orders, Delivery Orders, and invoices.
  • Check quantity, quality, and condition of goods before acceptance.
  • Identify and report shortages, damages, or discrepancies immediately.
  • Record all receiving transactions promptly in the inventory system/logbook.
Inventory Control & Stock Management
  • Maintain accurate inventory records for all stationery items.
  • Conduct daily, weekly, and monthly cycle counts to monitor stock accuracy.
  • Ensure proper stock placement, labelling, categorisation and FIFO practices.
  • Monitor stock levels and prepare replenishment requests when needed.
  • Track stock movement and ensure timely issuance to internal departments.
Establishment & Implementation of SOPs
  • Develop, update, and implement warehouse SOPs related to receiving, storage, issuing, and stock control of stationery.
  • Standardize documentation processes for stock movement and reporting.
  • Train staff and guide colleagues on adherence to warehouse procedures.
  • Continuously review and improve SOPs to enhance efficiency and compliance.
Safety Standards & Compliance
  • Ensure the warehouse environment complies with company safety policies and statutory requirements.
  • Conduct periodic safety checks and report potential hazards.
  • Ensure proper handling, storage, and housekeeping practices to prevent accidents. Support management in implementing corrective actions from safety audits.
6S Organisation & Continuous Improvement
  • Maintain and enforce 6S standards (Sort, Set in Order, Shine, Standardize, Sustain, Safety) within the warehouse.
  • Regularly conduct 6S audits and ensure corrective actions are implemented. Promote a culture of cleanliness, discipline, and efficiency in the workspace. Identify opportunities for process improvements and cost‑saving measures.
Reporting & Documentation
  • Prepare daily, weekly, and monthly inventory and discrepancy reports.
  • Maintain proper filing for delivery records, stock issuance, stocktake notes, and SOP documentation.
  • Assist during internal and external audits involving inventory or warehouse operations.
Job Requirements:
  • Minimum Certificate or Diploma in Warehouse Management, Logistics, Administration, or related field.
  • Preferably at least 2 - 3 years working experience in warehouse operations or inventory control.
  • Experience in stationery or general office supplies inventory is an advantage.
  • Knowledge of 6S, workplace safety practices, and SOP documentation.
  • Proficient in Microsoft Excel and inventory tracking systems.
  • Strong organisation, accuracy, and attention to detail.
  • Able to work independently with minimal supervision.
  • Physically fit to handle warehouse tasks (lifting, sorting, moving items) when necessary.
