📝 Vehicle Management Executive Job Description (Fleet Focus)

The role of a Vehicle Management Executive (Fleet Executive) is a crucial operational position, responsible for the total lifecycle management, cost-efficiency, and regulatory compliance of an organization's vehicle fleet.

Key Objective

The primary goal is to ensure the safe, efficient, and cost-effective operation of the company's vehicle assets, maximizing uptime and utilization while minimizing the total cost of ownership (TCO). This role involves strategic planning and tactical execution.

  • Managing all Company’s automotive maintenance planning, service scheduling and arrangement.
  • Diagnose mechanical defects or internal combustion engine maintenance problem, determine parts, repair costs, either internal or outsource repairs.
  • Managing petrol cards (maintain activation, cancellation, limit setting etc.), monitoring all vehicle petrol expenses and usage analysis.
  • Maintain all vehicles upkeep, service, repair and expense records, report to superior and management periodically.
  • Sourcing for the best value of outsource mechanical support, if necessary.
  • Support any of the vehicle supply, maintenance, repair activities in the Company, including coordinate with respective departments / sites / projects in order to determine the current resources either are shortage or surplus, make necessary suggestion, planning and arrangement.
  • Any other ad-hoc tasks assigned by the Management.
Requirements
  • Proven experience in vehicle maintenance / repairs, at least 3 years and above;
  • At least Diploma in mechanical or related discipline.
  • Simple computer usage, ability to maintain proper historical records of all Company’ vehicles and preparing related reports.
  • Ability to coordinate with the company’s vehicle custodians and/or fleet team in vehicle maintenance/service/ repair arrangement.
  • Hands on commitment to ensure necessary vehicle supplies to support regular operation. (Prefer Female)
