The Supply Chain Administrator is a crucial support role responsible for ensuring the smooth and efficient day-to-day operations of the supply chain. This position focuses on administrative coordination, data management, and communication across procurement, inventory, logistics, and customer service functions. The ideal candidate is highly organized, detail‑oriented, and adept at using supply chain management systems to maintain accuracy and support the broader supply chain team.
Key Responsibilities
Data Management & Documentation
- Accurately enter, update, and maintain data within the ERP, WMS (Warehouse Management System), and TMS (Transportation Management System).
- Process purchase orders, sales orders, and work orders in a timely manner.
- Prepare and manage shipping documents, bills of lading, customs paperwork, and other logistics documentation.
- Maintain accurate records of inventory levels, shipments, and supplier/customer details.
- Generate and analyze standard reports on inventory, shipping costs, and order status.
Coordination & Communication
- Act as a liaison between internal departments (warehouse, sales, finance) and external partners (suppliers, carriers, freight forwarders).
- Coordinate with carriers to schedule inbound and outbound shipments.
- Communicate order status, delays, and tracking information to relevant stakeholders.
- Assist in resolving discrepancies related to invoices, shipments, or inventory counts.
Inventory & Order Support
- Support cycle count and physical inventory processes.
- Monitor stock levels and assist in generating replenishment alerts.
- Assist with order fulfillment processes to ensure on‑time delivery.
- Help manage returns processing (RMAs) and reverse logistics.
Administrative Support
- Provide general administrative support to the supply chain/logistics team.
- Manage filing systems, both digital and physical.
- Assist with preparing presentations and meeting materials.
- Answer and direct phone calls and emails related to supply chain inquiries.
Compliance & Continuous Improvement
- Ensure all activities comply with company policies and relevant regulations.
- Identify opportunities for process improvements to increase efficiency and accuracy.
- Participate in projects aimed at optimizing supply chain operations.
Required Skills & Qualifications
- Education: High school diploma or equivalent required. An associate’s or bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field is a plus.
- Experience: 1-2 years of experience in an administrative, logistics coordination, or data entry role, preferably within a supply‑chain, manufacturing, or distribution environment.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Excel is essential—must be comfortable with VLOOKUPs, pivot tables).
- Experience with ERP systems (e.g., SQL, SAP, Oracle, NetSuite, Microsoft Dynamics) or similar business software.
- Familiarity with WMS, TMS, or inventory management software.
