Summary of the Role

The Supply Chain Admin Support will assist the supply chain team in preparing documentation for customs trade compliance health check and support logistics operations. This role is critical in ensuring smooth administrative processes and compliance with customs regulations, contributing to operational efficiency and business continuity.

Key Objectives
  1. Ensure readiness for custom trade compliance health check by preparing and organizing required documentation and records.
  2. Support logistics operations by coordinating local deliveries and managing import related documentation and communication with stakeholders.
Key responsibilities
Custom Trade Compliance Health Check
  • Compile sample review summaries, including declaration number, declared customs values, description, HS codes, duty rate and duty paid.
  • Gather and scan supporting documents such as commercial invoices, packing lists, purchase orders/contracts, bills of lading, declaration forms, certificates of origin, and duty payment receipts.
  • Maintain historical HS code classification records.
  • Support on follow‑up requests from consultants regarding the health check.
Logistics and Import Operations Management
  • Prepare shipping documents for forwarding agents to facilitate customs clearance.
  • Generate delivery advice, delivery notes, and pallet lists upon goods arrival.
  • Download and send invoice to customers.
  • Track and follow up on signed delivery notes from distributors and 3PL warehouses.
  • Coordinate with factories to obtain and send Certificates of Analysis (COA) to customers.
  • Liaise with forwarders to collect and summarize logistics invoices; upload to SharePoint.
  • Assist and optimize document tracking and filing in SharePoint.
Other Duties
  • Undertake ad‑hoc tasks and projects assigned by management.

  • Proficient in Microsoft Office (Excel, Word, SharePoint).
  • Ability to work independently and manage multiple tasks.
Education & Experience
  • Bachelor’s degree/diploma in business administration, supply chain, or related fields.
