A leading technology firm in Kulai, Malaysia is seeking an HR Operations Specialist to provide support for day-to-day HR services. This role involves coordinating HR activities such as onboarding and attendance management, maintaining records, and serving as a point of reference on HR matters. The ideal candidate should have a Bachelor’s degree, around 5 years of HR experience, and proficiency in English and Malay. Provide HR operational support for the Malaysia entity, contributing to the effective delivery of day-to-day human resources services.
Support and coordinate HR operations activities such as onboarding, offboarding, employee relations, attendance management, and personnel data entry or maintenance, ensuring accuracy and timely updates.
Serve as a point of reference for managers and employees on HR-related matters, policies, and procedures, assisting to promote understanding and compliance with applicable employment regulations.
Assist in employee relations (ER) and industrial relations (IR) matters, including basic case handling, documentation, and coordination, with guidance from senior HR or management where required.
Participate in attendance and leave administration, including monitoring, reporting, and supporting corrective actions where necessary.
Support continuous improvement initiatives by assisting in the review, development, or enhancement of local HR policies, employee handbooks, and standard operating procedures, which will be considered an added value.
Collaborate with internal stakeholders such as managers, payroll, and regional HR teams to ensure HR processes are aligned and executed smoothly.
Maintain HR records and documentation in accordance with internal controls, audit requirements, and data confidentiality standards.
Exposure to Malaysian employment laws, labor practices, and statutory requirements (e.g., Employment Act, IR processes) will be an advantage to the candidate.
Ability to handle HR operations tasks with attention to detail, organization, and confidentiality is preferable.
Experience or interest in HR systems, attendance systems, or HR data reporting is an added value.
Undertake other HR-related duties or projects as assigned, based on business and operational needs.
What skills you must have to apply:
Bachelor’s degree in Human Resources, Psychology, or a related discipline is preferred; candidates with equivalent qualifications or relevant HR operations experience are encouraged to apply.
Around 5 years of HR-related experience is preferable, particularly with exposure to HR operations, employee relations, or attendance management within a manufacturing or similar operational environment.
Proficient in English and Malay; Mandarin language capability is an added advantage when supporting a diverse, multi-national workforce.
Demonstrates the ability to manage multiple priorities and work with a degree of independence in a multi-cultural and multi-national environment, which will be considered an added value.
Exposure to Malaysian employment legislation, labor practices, or basic industrial relations processes is advantageous to the candidate.
Experience or familiarity with HR systems (iFlexi), attendance tracking tools, or HR databases will be considered value-added.
Basic knowledge or hands-on involvement in employee relations case documentation, investigations, or disciplinary processes is preferable.
Demonstrates good organizational skills and attention to detail, particularly when handling personnel records and confidential information.
Experience supporting audits, internal controls, or HR compliance activities is an added advantage.
Strong interpersonal and communication skills, with the ability to interact professionally with employees at different levels, is preferable.
Willingness to learn and adapt to evolving HR policies, systems, and operational requirements is viewed as an added value.
