A leading employment firm in Kuala Lumpur is looking for an experienced Executive Assistant to provide administrative support to Directors. The ideal candidate must have a Degree and 5-8 years of relevant experience, proficient in both English and Bahasa Malaysia. Responsibilities include managing correspondence, scheduling meetings, and handling visitor interactions, with an emphasis on confidentiality and professionalism. This position requires the ability to work independently and sometimes beyond normal hours.
To provide administration, secretarial duties, office management, and business support to the Directors and other Senior personnel, and to perform a wide variety of typing assignments which are confidential in nature; operate a personal computer to edit, revise, and print letters, reports, and other documents.
To undertake duties away from the office as directed by the Directors or their representatives pertaining to the office, diplomatic, or personal matters.
To handle visitors, clients, customers and relatives, or personalities when necessary.
To be involved with routine administrative matters concerning the activities and operations of the company. To receive, screen, and route telephone calls; maintain logs of inquiries as required.
To sort, screen, and distribute incoming and outgoing mail; prepare drafts, photocopies, facsimiles, and operate a variety of office equipment.
To establish, maintain, process, and update files, records, databases, and other duties thereof.
To arrange meetings and conferences, schedule interviews, appointments, special events, etc, as directed.
To make travel, accommodation, and other arrangements as necessary.
To serve as the primary point of direct administrative contact and liaison with other departments, offices, individuals, and external institutions and agencies.
To undertake the Director’s personal work relating to their residence and domestic staff, e.g., gardeners and other relevant personnel as required, excluding the staff of the Diplomatic and Non-Diplomatic office.
To be able to travel outstation and/or overseas when required.
To be able to work beyond normal working hours as stipulated in the employment contract, either in the office or away from the office as required.
Receiving and sending guests to the airport or other places as required.
Maintain utmost confidentiality in all work-related matters whilst serving under the Director's office or even after leaving the job at all times.
Candidate must possess a minimum of a Degree / Professional Certificate, Diploma, Advanced / higher / Graduate Diploma in Business or equivalent;
At least 5-8 years (s) of working experience in the related field is required for this position;
Preferably Senior Executives specializing in Secretarial / Executive and Personal Assistant;
Have initiative, high responsibility, ability to work late, and independent characteristics.
Good spoken and written English and Bahasa Malaysia;
Good interpersonal communication skills and able to work with all levels of staff;
Ability to handle multiple tasks, be independent, and be able to work under minimal supervision;
