Job description

We are seeking a Senior HR Specialist to join our HR Services team in Kuala Lumpur, Malaysia. In this role, you will provide expert-level support for employee lifecycle processes across the region, ensuring a seamless and efficient experience. You will manage complex HR transactions, mentor junior team members, and serve as a key escalation point for challenging employee inquiries. Additionally, you will drive process improvements, ensure compliance with regional labor laws, and collaborate closely with HR Business Partners, Payroll, and Centers of Excellence (CoEs) to enhance HR service delivery.

Responsibilities
  • Employee Lifecycle Support: Manage and execute complex employee lifecycle transactions, including onboarding, promotions, international transfers, employee exits.
  • HR Systems & Data Integrity: Oversee the maintenance of employee records in HR systems, ensuring accuracy, compliance, and alignment with global HR policies. Ensure data feeds to external providers happen accurately and on time.
  • Employee Inquiries & Case Management: Serve as the first point of contact for employees across the region, providing timely and accurate responses to HR related queries and closely partnering with and/or escalating to regional/market HRBP's where appropriate.
  • Mentorship & Training: Support the development of junior team members by sharing expertise, providing training, and acting as a subject matter expert in employee services.
  • Manage HR vendors, ensuring adherence to SLA, collaboration on issues and risks raised, and a smooth day to day operation.
  • Benefits & Payroll Coordination: Collaborate with benefits teams and payroll providers to ensure smooth processing of employee benefits and accurate payroll transactions.
  • Compliance & Documentation: Ensure adherence to local labor laws, company policies, and data protection regulations (e.g., GDPR), while maintaining accurate documentation.
  • Continuous Improvement & Process Optimization: Identify inefficiencies in HR service delivery, propose solutions, and support the implementation of process enhancements and automation initiatives.
  • Collaboration with HR Stakeholders: Work closely with HR Business Partners, CoEs, and external vendors to ensure alignment and consistency in employee services across multiple countries.
Required Education, Experience and Skills
  • Bachelors degree in Human Resources, Business Administration, or a related field.
  • 5+ years of experience in HR operations, shared services, or employee services, with a focus on HR processes across Asia Pacific.
  • Experience working in a multinational environment, supporting multiple countries.
  • In-depth knowledge of HR policies, employment regulations, and best practices across Asia Pacific.
  • Proficiency in HRIS systems (e.g., Workday, SAP SuccessFactors) and case management tools.
  • Strong problem-solving skills and ability to manage escalations effectively.
  • Excellent communication and interpersonal skills, with the ability to engage with employees at all levels.
  • Experience mentoring or training junior colleagues is a plus.
  • Ability to handle sensitive information with discretion and professionalism.
  • Fluent in English; Japanese, Mandarin, Bahasa Malayu, Indonesia or Thai are highly desirable.
