Job summary

A leading telecommunications solutions provider is seeking an HR and Administrative Support professional in Kuala Lumpur. The role involves maintaining accurate employee records, assisting with recruitment and onboarding, ensuring compliance with labor laws, and coordinating project-related documentation. Ideal candidates should be detail-oriented and have experience in HR practices. The company is an integrated services provider in telecommunications, expanding into renewable energy across ASEAN countries.

  • Maintain employee records and ensure documentation is up to date.
  • Monitor staff attendance, leave, and disciplinary records.
  • Assist in recruitment, onboarding, and offboarding processes.
  • Maintain HR documents, including contracts, policies, and employee handbooks.
  • Ensure compliance with labor laws and company policies.
  • Prepare subcontractor (subcon) contracts every two weeks in accordance with project needs and timelines.
  • Prepare and process subcontractor fee payments every two weeks, ensuring accuracy and timely disbursement.
  • Generate monthly timesheet reports for EIPT staff, ensuring data integrity for payroll and project monitoring.
  • Monitor EIPT staff leave via the Worksy system, ensuring proper tracking and reporting.
  • Request and coordinate project insurance quotations as required by the project or management.
  • Maintain up-to-date employee records and HR documentation (contracts, leave forms, disciplinary actions, etc.).
  • Assist in the recruitment and onboarding process of new staff as required.
  • Handle employee inquiries and ensure compliance with company policies and relevant labor laws. Project Support & Compliance
  • Coordinate and manage the registration of JKKP/CIDB personnel as required for specific projects.
  • Request quotations for project-related insurance, ensuring timely coverage as per project schedules.
  • Prepare and process petty cash claims, maintaining accurate records and receipts in line with company procedures.
  • Liaise with project teams to support HR and administrative needs across different project sites. Other Responsibilities:
  • Perform ad hoc tasks and assignments as directed by management.
  • Support other departments with HR-related documentation or coordination as necessary.
  • Assist in general office administration, filing, and correspondence.
