SENIOR EXECUTIVE – PROCUREMENT, MATERIAL AND PRODUCTION PLANNING
As a Senior Executive – Procurement, Material and Production Planning, you will lead procurement and production planning functions, ensuring optimal supply chain performance, cost savings and delivery compliance.
Responsibilities
- Improve supplier service levels and build strong relationships with suppliers.
- Liaise with freight forwarders on customs clearance for import shipments, including required documents.
- Responsible for invoice matching with purchase orders and delivery orders.
- Update and analyse forecasts for better supply planning.
- Coordinate with warehouse person in charge on a daily basis to confirm the inventory movement and level.
- Update of stock and inventories by physical and in SAP software/system.
- Good purchasing negotiation skills, knowledge of the market trends, business understanding and manufacturing process.
- Good in material buying and replenishment/restock planning and future hedging.
- Setting minimum order quantities to alert on reordering.
- To carry out ad-hoc duties assigned by the Management/Superior from time to time.
- Assist finance team in working capital management by negotiating payment terms with vendors.
- Non-Moving /Slow moving RM /Inventory management in consultations with R&D.
- Maintain up-to-date documentation and maintain the records.
- Good understanding of manufacturing processes and techniques of manufacturing of dairy and food products.
- Good understanding of Market drivers for Raw material for Dairy industry.
- Responsible for providing price trends, forecasting, and taking buying decision for most competitive buying ensuring 100% supply compliance.
- Responsible for development, leading and executing procurement strategies and negotiation of contracts to maximize the benefit to organization.
- Perform cost benefit analysis and benchmarking of the market and competition to find cost saving opportunities.
- Ensure close monitoring of vendor performance on business share, product quality, adherence to performance parameters.
- Take the lead in identifying new, more reliable and / or lower cost sources of supply.
- Ensuring Responsible for coordinating with vendors and factory team to facilitate timely deliveries of Raw Materials to factory.
- Responsible for resolution of all issues related to Dairy and Raw material quality, specifications, revalidation, damages/losses and commercial issues related to Raw materials vendors operations team.
- Comply with organization policy in general and procurement policy in particular.
- Function as a team player to implement end-to-end solutions across the supply chain, including interactions with the demand planning, manufacturing, logistics, R&D and vendors.
- Responsible for procurement of all required raw materials (milk powder, packaging material & machinery spare parts, etc.) and services either from local or overseas suppliers.
- Assist on raw material hedging to ensure the best and most stable pricing for raw materials.
- Identity, source, negotiate and implement sourcing and procurement cost‑saving opportunities resulting in a significant saving to the company.
- Sourcing new suppliers, sending inquiries and obtaining quotes from various suppliers as per material specifications and meets Company’s specification.
- Responsible for the execution, analysis, final reporting of results and recommendations, preparation of price and obtaining approvals from HODs / Managers for the procurement process orders.
- Negotiating terms and prices with suppliers in accordance with Corporate Compliance rules and regulations to ensure competitive deal for the company.
- Ensure optimum stock accuracy (actual and in the SAP system) through timely and systematic physical count and updating receiving, issuing rejection control, and material transfer.
- Work with research and development department and other stakeholders/ HOD / Managers to establish viable, cost effective, and strategic sourcing objectives.
- Monitor all materials are delivered within the agreed lead time and follow the regulations.
- Monitor and allocate procurement budgets and expenses according to each department.
- Develop good relationship with all vendors and review their performance to suggest recommendations.
- Establish and enforce procurement policies and procedures.
- Responsible for discussing, confirming and negotiating payment terms with suppliers.
- Monitoring and ensuring that good s or materials are delivered on time.
- Prepare and present department KPI reports and monitor the results. Propose action plan to ensure KPI achievement.
MATERIAL PLANNING
- Make sure the availability of raw and packaging material, other materials,and spare parts as the requirements.
- Coordinate with local and overseas suppliers, to ensure items meet delivery timelines.
- Provide accurate forecasts for improved stock/inventory replenishment planning.
- Manage relationships with suppliers and internal teams for optimal arrangements.
- Handle day‑to‑day ordering activities, making appropriate decisions for stock replenishment.
- Liaise with suppliers on supply matters, achieving cost‑effectiveness, prompt delivery, and quality goods and services.
- Manage day to day ordering activities & responsible to make appropriate decision for stock replenishment.
- Plan raw material requirements, handle procurement, manage inventory, and control obsolete materials.
- Work closely with the Purchasing Department to raise purchase order.
- Purchase and control of spare parts inventory.
- Knowledge of FIFO & LIFO techniques.
- Capable to procure capital items (plant and machinery) with the help/advise of the technical dept.
- Manage the spare parts ordering, maintaining optimum inventory, maintain minimum/max. Stock and reorder level.
PRODUCTION PLANNING
- Plan and prepare master production schedules in accordance with job priorities, product specifications, and delivery requirements.
- Determine demand forecasts based on sales forecasts and provided sales/business information.
- Communicate with customer planners regarding production schedules and delivery commitments.
- Schedule work orders and manage production loading.
- Expedite operations that may delay schedules and alter schedules to meet unforeseen circumstances.
- Monitor daily work orders, ensuring completion and closure on time.
- Perform material requirement planning.
- Communicate with production on planning execution and promptly resolve any issues.
- Collaborate with QC, IQC, Store, Production, and other supporting functions to accomplish job assignments.
- Coordinate and plan on quarterly forecast from each department.
- Ensure documentation filing is orderly and retrievable as required.
EDUCATION AND/OR WORK EXPERIENCE REQUIREMENTS
- Candidate must possess at least a Bachelor’s Degree, Post Graduate Diploma, Degree in Business Studies/Administration/Management.
- Minimum five (5) years of experience in purchasing/ procurement for dairy / beverages industry.
- Advanced Experience in using SAP system.
- Advance skills in Microsoft office (Word, Excel & PowerPoint) in order to list and provide analysed reports to the Management.
- Good knowledge of vendor sourcing practices and understands supply chain procedures.
- Strong negotiation skills and help to create constructive relationships with vendors.
- Effective time management capabilities to manage multiple tasks.
- Solid analytical skills, with the ability to create reports and conduct cost analysis.
