Position Summary
The Executive Assistant (EA) provides high‑level administrative and strategic support to multiple C‑Level executives and directors. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast‑paced environment. The EA acts as a trusted partner, managing executive priorities, streamlining communication, and ensuring the smooth execution of business operations.
Key Responsibilities
- Provide full executive support to multiple C‑Level and directors, including calendar management, travel coordination, meeting preparation, and expense reporting.
- Act as the primary point of contact between executives, internal teams, clients, and external stakeholders.
- Prepare, review, and edit correspondence, presentations, contracts, reports, and other confidential documents.
- Coordinate and support board meetings, executive committee sessions, and leadership offsites (agendas, minutes, materials, follow‑up actions).
- Manage sensitive and confidential information with integrity and professionalism.
- Conduct research, compile data, and prepare briefing materials to support executive decision‑making.
- Track deadlines, action items, and deliverables to ensure priorities are met.
- Support special projects, strategic initiatives, and cross‑departmental collaborations on behalf of executives.
- Foster strong relationships across all levels of the organization and with external partners.
- Represent executives professionally in their absence.
Qualifications & Skills
- Bachelor's degree in Business Administration, Law, Communications, or related field.
- 7+ years of executive assistant or senior administrative experience, with proven support to C‑Suite executives or board members.
- Excellent English written and verbal communication skill.
- Strong attention to detail.
- High level of discretion, confidentiality, and emotional intelligence.
- Proficiency in MS Office Suite, Google Workspace, and productivity/collaboration tools (e.g., Zoom, Teams, Concur, Trello, or similar).
- Strong organizational and multitasking abilities with the capacity to manage competing priorities.
- Ability to work independently, anticipate needs, and exercise sound judgment.
