To support the Registrar’s Office in executing and enhancing administrative functions related to student admissions, records management, and industry engagement activities. This role is also responsible for ensuring the accuracy, integrity, and timely reporting of student data to both internal stakeholders and external regulatory bodies such as MOHE, MQA, and EMGS.
Job Requirements
- Maintain accurate and up-to-date student records.
- Oversee the maintenance and security of student records, ensuring accuracy, confidentiality, and compliance with data protection regulations.
- Coordinate student support services, including orientation, graduation, counselling referrals, and co-curricular activities.
- Administer and monitor student insurance, email services, and official communication channels.
- Handle student and parent enquiries professionally, providing timely responses and solutions.
- Regularly review and improve student data management and service workflows for operational efficiency.
Student Registration, Orientation & Satisfaction
- Oversee the full student registration process, ensuring a smooth and welcoming experience.
- Coordinate and implement orientation programmes for new students, including campus tours and briefings.
- Collect and analyze student feedback through surveys and service evaluations to enhance the student experience.
- Investigate and resolve student concerns or complaints and prepare clear reports or follow-ups for internal and external stakeholders.
Alumni Engagement & Data Management
- Develop and maintain a comprehensive alumni database, ensuring data accuracy and regular updates.
- Initiate and manage alumni engagement activities such as reunions, webinars, networking events, and professional development programmes.
- Enhance the value of the Alumni Association by creating partnership opportunities, alumni privileges, and professional benefits.
- Manage alumni communications via LinkedIn, social media, newsletters, and web content.
- Track and report on notable alumni achievements and maintain alumni-related content for promotional use.
Graduate Tracer Study (SKPG)
- Coordinate and execute the annual Graduate Tracer Study (Sistem Kajian Pengesanan Graduan – SKPG) as per MOHE guidelines.
- Liaise with academic departments and graduates to ensure timely and accurate participation in the SKPG survey.
- Prepare and submit tracer study reports and data to internal stakeholders and relevant government agencies.
- Analyze trends and provide insights to support programme improvements and institutional reporting (e.g., SETARA, MyRA, MQA).
- Serve as the advisor to the Student Representative Council, providing guidance on student leadership, governance, and activity planning.
- Ensure SRC initiatives are in alignment with university policies and values.
Other Tasks & Special Projects
- Manage student logistics including transportation, accommodation, and support for cultural and international programmes (e.g., Korean Exchange Programme).
- Support university-wide events and initiatives involving students and alumni.
- Perform any other duties assigned by the Registrar, Vice Chancellor or BAC Education Management related to student affairs and alumni relations.
- Support ad‑hoc tasks and cross‑functional initiatives that contribute to student success and institutional effectiveness.
