A company in Malaysia is looking for a qualified Secretary/Administrative Executive to provide full secretarial and administrative support to the Director. This role requires managing schedules, preparing documents, and handling communications professionally. The ideal candidate should have a Diploma in Business Administration, 2-3 years of relevant experience, and excellent proficiency in Hokkien, English, and Bahasa Malaysia. Provide full secretarial and administrative support to the Director.
Manage and organize Director’s daily schedule, appointments, meetings, and travel arrangements.
Prepare letters, reports, documents, meeting minutes, and confidential materials.
Handle incoming/outgoing calls, emails, and communications professionally.
Coordinate inter-department tasks, follow up on pending matters, and ensure deadlines are met.
Assist in project coordination, documentation, data tracking, and reporting.
Maintain proper filing systems (digital & physical) for easy retrieval.
Handle confidential information with high discretion and professionalism.
Perform any ad hoc tasks assigned by the Director.
Minimum Diploma in Business Administration, Secretarial Studies, or equivalent.
At least 2–3 years of experience as a Secretary / PA / Admin Executive.
Excellent communication skills in Hokkien, English and Bahasa Malaysia.
Proficient in MS Office (Word, Excel, PowerPoint).
Highly organized, detail-oriented, and able to multitask under pressure.
Mature, reliable, proactive, and able to work independently with minimal supervision.
Able to maintain confidentiality at all times.
Pleasant personality with strong interpersonal skills.
Able to work closely with Director and follow instructions accurately.
Experience supporting senior management / directors.
Ability to draft letters professionally.
Good time management and coordination skills.
