Position Overview:
This role ensures smooth communication between customers, the sales team, and other departments, helping to maintain high levels of customer satisfaction and operational efficiency.
Responsibilities
- Sales Support: Assist the sales team with administrative tasks such as preparing quotes, processing orders, invoices, delivery orders and generating reports.
- Customer Interaction: Act as a point of contact for customers regarding order status, pricing, and general inquiries. Support sales team in maintaining strong customer relationships.
- Data Management: Maintain accurate customer records and track sales activity.
- Order Processing: Coordinate the order process from order receipt to delivery, ensuring timely fulfilment and communication with relevant teams.
- Inventory Management: Monitor product inventory levels, coordinate with supply chain teams to ensure stock availability, and assist in inventory tracking.
- Sales Reports & Analysis: Prepare regular sales reports and help track key performance indicators (KPIs) for the sales team.
- Cross-Functional Coordination: Work closely with warehouse, inventory, and customer service departments to ensure a seamless sales process. Coordinate with finance for timely invoicing and payment collection.
Qualifications
- Education: Bachelor’s degree or Diploma in business, administration, logistics or related field (preferred).
- Experience: 1-2 years of experience in sales administration or related roles.
- Skills: Strong organisational and time-management skills.
- Skills: Excellent communication skills, both written and verbal (Bahasa Melayu, English and Mandarin). Mandarin-speaking and writing candidates preferred to effectively communicate with Mandarin-speaking clients.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Skills: Ability to work well under pressure and manage multiple tasks simultaneously.
Other Requirements
- Able to work overtime (Saturday or Public Holiday) when necessary, especially during peak loading days, urgent shipments or export sales.
- Willing to handle ad-hoc tasks or urgent assignments as required to support sales orders.
- Flexible and dependable when operational needs require additional support.
